Description

We have a great opportunity for an experienced administrator to play an important role at the heart of Cifas’ People & Culture team, joining us on a 12-month fixed term contract.

Supporting colleagues throughout their employee journey, the role will coordinate a broad range of People & Culture activity, from recruitment and onboarding to payroll, training, employee changes and leavers. Accuracy and organisation will be key, with responsibility for ensuring records, systems and trackers are maintained to a consistently high standard.

We’re looking for someone who enjoys bringing structure to a busy workload, has a keen eye for detail and takes ownership of seeing processes through. Alongside the day-to-day activity, there will be opportunities to identify improvements and contribute to a responsive, efficient People & Culture service that provides a positive experience for colleagues.

Key Responsibilities

Working alongside industry specialists, the successful candidate will be responsible for:

  • Coordinating employee lifecycle administration from onboarding to exit, ensuring documentation, correspondence and records are accurate and completed on time.
  • Managing pre-employment and onboarding administration, including offers, vetting, pre-employment checks and creation of employee records.
  • Coordinating new starter inductions and probation processes, including schedules, documentation, reminders and completion of required actions.
  • Maintaining accurate employee data across P&C systems, ensuring the HRIS and associated records are updated accurately and in real time.
  • Maintaining accurate and compliant employee records, completing data-quality checks and supporting routine reporting and management information.
  • Managing central P&C communication channels, including the shared inbox and HRIS enquiries, ensuring timely responses, allocation and follow-up.
  • Providing first-line P&C information and guidance on established policies, procedures and processes, escalating complex or sensitive matters appropriately.
  • Coordinating monthly payroll administration, collating and checking approved employee changes to support accurate and timely payroll processing.
  • Coordinating mandatory training administration, maintaining completion records and following up outstanding requirements.
  • Providing administrative support for employee relations matters, including meeting coordination, documentation, note-taking and confidential case records.
  • Supporting recruitment administration, including attraction, interview coordination, selection activities and maintenance of accurate recruitment records.
  • Supporting P&C projects and service improvements, including research, project administration and improvements to processes, systems, data quality and employee experience.

Skills, Knowledge and Expertise

To be successful in this role, you will have:

  • GCSE Maths and English at Grade 4 (C) or above, with CIPD Level 3 or equivalent relevant professional experience.
  • Experience of providing People & Culture/HR administration across the employee lifecycle, including recruitment, onboarding, employee changes and leavers.
  • Strong administration and organisational skills, with the ability to manage competing priorities and deadlines.
  • Excellent attention to detail, with experience of maintaining accurate employee records, HR systems and trackers.
  • Good working knowledge of HR policies, employment practices, confidentiality, data protection and GDPR.
  • Experience of coordinating recruitment, pre-employment checks, onboarding and payroll-related administration.
  • Strong written and verbal communication skills, with a professional, approachable and service-focused manner.
  • Experience of providing first-line P&C/HR support and handling sensitive information with discretion.
  • Confident IT and digital skills, including Microsoft 365 and HR systems/HRIS.
  • A proactive approach to working with stakeholders, following activities through to completion and identifying practical improvements to processes and ways of working.
  • Additional knowledge or experience across UK employment law, payroll and benefits administration, safer recruitment and pre-employment screening, people reporting and data quality, and continuous improvement within a P&C/HR environment would be ideal.
