Job Description

We're a not-for-profit mental health centre based in Calgary, with locations across Alberta. Our mission is to build good mental health and well-being so everyone can thrive in their community.

We're looking for a People & Culture Coordinator to join our team on a 1 year contract with possibility of extension.

Reporting to the People and Culture Manager, the People and Culture Coordinator assists with facilitating People and Culture processes across the organization. This position is responsible for the timely and accurate attention to administrative matters and the coordination of various initiatives.

Key Responsibilities

Coordination
• First point of contact for employees and other internal stakeholders; responds to inquiries related to HR processes and procedures, and triages as appropriate
• Liaise and collaborates with HR Generalist, Learning and Development Coordinator and Trainers, to ensure seamless functioning of recruitment and training processes
• Ensures interdepartmental collaboration with Payroll, Finance, and Information Technology Departments as it relates to People and Culture processes
• Ensures timely and effective communication and follow up with employees and leaders when engaging in various processes

Administrative
• Maintains optimal function of the HRIS specific to employee profiles; manages permissions and access, for HRIS users; creates and maintains job assignments and paygrades; completes data entry and ad-hoc system requests as needed
• Maintains Docusign platform; assists People and Culture Generalist with the upkeep and maintenance of templates and documentation
• Maintains People and Culture SharePoint site including aesthetic configuration and upkeep of information and documentation
• Oversees the creation and maintenance of employee files and records in accordance with record keeping policies
• Responsible for drafting and sending offer letters pertaining to internal mobility; ensures accurate and timely submission of paperwork to Payroll and Information Technology
• Assist with new hire employee and student onboarding process ensuring receipt of documentation and tracking
• Assists with the performance review process including receipt and tracking of documentation, ensuring compliance with conditions of employment and required training, and processing of annual increases
• Compiles or assists with the acquisition of system reports
• Oversees employee initiatives including technology incentive and employee referral programs
• Acts as a backup for Learning & Development Coordinator
• Provides administrative coverage for People and Culture Generalist
• Ensures quality improvement and maintenance of People and Culture documentation
• Completes other tasks and projects as assigned

Safety
• Reports workplace hazards, unsafe or unhealthy conditions, or incidents (including near misses, injuries, or equipment damage) to their direct supervisor
• Completes all required health and safety training

Working Conditions
• Indoor work at Wood’s Homes administration building
• Prolonged periods of sitting
• Occasional travel to additional Wood's Homes locations and Programs

Qualifications
• Education, Training, Diplomas and Certifications Needed
◦ Bachelor’s degree in Human Resources; or equivalent combination of education and experience.
• Work Experience Needed
◦ Minimum two (2) years’ experience in a Human Resources role.
