Job Profile Summary
The People Admin & Payroll Lead Specialist JAPAC is responsible for supervising comprehensive data and payroll processing, overseeing all transactional and administrative services related to personnel data, benefits, and talent administration, including mass updates. The role ensures timely processing of inquiries escalated by the Contact Center, adheres to standard operating procedures, and identifies necessary adaptations based on client feedback. The role reviews and processes HR Master Data changes for compliance with data privacy and service level requirements, and handles changes in employee status, cost centers, and pay adjustments. The role acts as the principal escalation point for grievances and drives process improvement activities, ensuring team skills and operational capacity meet domain demands, while maintaining accurate employee files and records.
Job Responsibilities
Manages transactional and administrative services related to personnel and payroll data, benefits administration, and talent administration, including mass transaction updates, functioning as an expert in all aspects of data and payroll processing.
Works within defined processes and procedures while giving advice on processes both inside and outside the assigned work area, and supports team members through mentorship and process improvements.
Executes complex Master Data changes in compliance with data privacy and service level requirements, processing changes in employee status, cost center allocations, and pay adjustments accurately and efficiently.
Approves, rejects, re-submits, or escalates transactions based on established policies and guidelines, performing regular system checks to monitor changes, identify discrepancies, and execute necessary corrections to ensure data integrity.
Identifies and implements improvements according to LEAN principles, actively participating in LEAN process improvement activities to enhance operational efficiency and streamline HR processes.
Responds to external and internal requests for information, supports the delivery of reports within scope, manages and records document flow, and maintains organized and accurate employee files and records.
Uses knowledge and experience in payroll and data processing to answer queries on own initiative, mentor other team members, and ensure that enquiries escalated by the Contact Center are answered and transactional activities are processed in a timely, professional, and efficient manner.
Oversees the comprehensive management of the domain, entailing the meticulous design, deployment, and optimization of roles, responsibilities, and processes, inclusive of staffing and training initiatives to ensure operational efficacy and excellence.
Monitor the performance of 3rd party providers and address process issues and business requirements effectively, while also initiating strategic workforce planning to assess and enhance team skills and competencies for optimal performance standards.
Forges alignment with department heads and Centers of Excellence (CoEs) to ensure the consistent delivery of simplified and standardized HR processes, fostering synergy and cohesion across organizational functions.
Minimum Required Qualifications
Education
Bachelor’s degree in human resources, Statistics, Finance, Accounting, or a related field.
Key Requirements:
Minimum of 5 years’ experience in HR Operations, Payroll, Accounting, or HR Technology/Digitalization, supporting APAC countries, with strong hands-on expertise
Proven experience in handling high-volume data processing with a high level of accuracy and attention to detail
Solid understanding of HR processes, policies, and compliance requirements
Fluent in English, with strong written and verbal communication skills
Ability to independently resolve queries using data analysis and system insights
Strong team player with the ability to work independently with minimal supervision
Preferred Qualifications
Experience in supporting or contributing to overseas business expansion initiatives
Six Sigma Green Belt certification or equivalent experience in process improvement
Strong HRIT knowledge, with a proven track record in driving process automation, system implementations, and workflow optimization; familiarity with ADP GlobalView is preferred
Demonstrated success in leading the implementation of local initiatives in compliance with regulatory requirements
Proactive, clear, and confident communication style
