PCA Upper Office AssistantThe Academy Upper Office Assistant is responsible for providing clerical support to the Grade 4-12 principals and deans as well as the Events Coordinator, coordinating transportation changes, attendance reports, and homework requests for Grade 7-12 students, assisting students, parents, and guests, and overseeing student receptionists.
Provide Clerical Support
Provide clerical support to the Grade 4-12 principals and deans. Organize and maintain files, prepare and type memos and correspondence, manage tickler systems, and distribute mail for Grade 4-12 faculty. Manage emails and correspondence for principals and complete assigned projects as needed. Provide clerical assistance to the Event Coordinator when extra support is needed.
Coordinate Grades 7-12 Transportation, Attendance and Homework
Manage transportation changes for students in Grades 7-12 and ensure dismissal changes are communicated appropriately. Coordinate the collection of homework assignments to be compiled and delivered to the office each day. Monitor attendance reporting to ensure records are submitted accurately and in a timely manner.
Assist Students, Parents, and Guests
Serve as a point of contact for the Upper Office by answering and directing phone calls and assisting parents and guests who arrive for meetings with principals or deans. Provide support to high school students visiting the office by answering questions, scheduling appointments, and issuing passes when needed.
Oversee Student Receptionists
Supervise high school student receptionists by assigning and monitoring daily responsibilities, administering quizzes, and evaluating performance to provide appropriate grades. Provide guidance and direction to ensure office procedures are followed, offering instruction and correction when necessary to help students perform their duties accurately and professionally.
