PCA Office AssistantThe Academy Office Assistant supports the Academy Office by maintaining parent communications, assisting other academy offices, maintaining documentation for FACCS certifications, and overseeing trip permissions and bus rosters.
Maintain Parent Communications
Coordinate and send parent communications on behalf of PCA. Prepare and send parent notes, emails, and other electronic correspondence in alignment with the academy calendar and administrative direction. Monitor the PCA Office email accounts daily, responding when appropriate and routing messages to the appropriate personnel to ensure timely follow-up.
Support the Academy Offices
Provide cross-trained support for academy offices and nurses. In the absence of another staff member, assist in covering responsibilities to ensure continuity of service. Support the Records Office with tasks such as filing transcripts and achievement test records, preparing grade-transfer documentation, creating kindergarten cumulative folders, counting and packaging achievement test, and creating health file labels.
Maintain Documentation for FACCS Certifications
Maintain accurate documentation related to faculty and administrative FACCS certifications. Submit in-service points for all PCA faculty and administration through the FACCS certification system and collaborate with the Office Supervisor to monitor certification timelines and ensure timely renewals.
Oversee Trip Permissions and Bus Rosters
Create, distribute, monitor, and archive student permission forms for field trips, athletic events, and other school-sponsored activities. Track returned permissions and communicate with parents and staff regarding outstanding permissions to ensure compliance prior to events. Prepare accurate bus rosters for all activities requiring bus transportation and coordinate with appropriate staff to confirm student eligibility and participation.
