Job Description

I. Role Purpose

The Payroll / HRIS Specialist is responsible for managing employee timekeeping, maintaining accurate HRIS records, and supporting payroll accuracy through data validation and dispute resolution. This role serves as the HR point of coordination with Finance by ensuring time and employee data are correct, complete, and compliant prior to payroll processing.

II. Key Responsibilities & Duties

A. Timekeeping & Attendance Management

  1. Administer and maintain employee timekeeping and attendance records in the HRIS or timekeeping system.
  2. Validate attendance, leave credits, overtime, and schedule data prior to payroll cut-off.
  3. Monitor timekeeping compliance and follow up on missing, incorrect, or late submissions.

B. Payroll Support & Dispute Resolution

  1. Review timekeeping and employee data submitted to Finance for payroll processing.
  2. Investigate and resolve payroll-related disputes arising from attendance, leave, or data discrepancies.
  3. Coordinate with Finance to correct payroll inputs and adjustments when required.

C. HRIS Management & Data Integrity

  1. Maintain and update employee records in the HRIS, ensuring accuracy and completeness.
  2. Process HRIS transactions related to employee lifecycle changes that impact payroll data.
  3. Conduct regular data audits to ensure alignment between HRIS, timekeeping, and payroll records.

D. Reporting, Compliance & Controls

  1. Generate timekeeping, attendance, and HRIS reports to support payroll validation and audits.
  2. Ensure compliance with internal policies, labor regulations, and data privacy standards.
  3. Support internal and external audits by providing required timekeeping and HRIS documentation.

E. Additional Responsibilities

  • Perform other tasks and responsibilities as may be assigned by the direct supervisor from time to time.
  • The job description may be updated or modified depending on business needs and management's prerogative.

III. Qualifications & Competencies

A. Required Knowledge & Skills

  • Bachelor's degree in Human Resources, Business Administration, Accounting, Psychology, or a related field.
  • At least 1–2 years of experience in timekeeping administration, HRIS management, or payroll support.
  • Working knowledge of attendance systems, leave management, and payroll inputs.
  • Strong data validation, documentation, and reporting skills.
  • High level of discretion when handling employee and payroll-related information.
