Job Description

Primary Accountability

The Payroll Technician performs general payroll duties and completes normal and recurring tasks related to payroll reporting and processing.

of Primary Responsibilities

  1. Responsible for general payroll activities as part of the biweekly payroll process, special pay runs, and the payroll reporting process.
    1. Updates and calculates payroll records by processing various payroll documents and materials (e.g., timesheets, final terminations checks, wage orders, supplemental checks, stipends, leave integrations and payments, FMLA, etc.).
    2. Research discrepancies payroll information and documentation to ensure accuracy and adherence to procedures before payroll processing.
    3. Respond to general inquiries from staff and the accounting and human resources department by collecting and analyzing information regarding employee pay issues or questions.
    4. Processes and monitors retention programs, provider incentives, and other incentive programs.
    5. Prepares reports by compiling summaries of payroll data.
    6. Prepares payroll files to maintain accurate employee payroll records.
    7. Retrieves and imports payroll data from the timekeeping system into the payroll module.
    8. Audits timecards, schedules, set-ups, etc., to ensure employees' accruals and wages are correctly calculated.
  2. Prepares payroll and accounting records, including:
    1. Missing punch, meal break, and rest break violation report.
    2. Weekly supervisors report.
    3. Overtime report by department and supervisor.
    4. Unpaid leave/hours by the department or employee.
    5. Interim and biweekly payroll tax extracts.
    6. Other reports as requested.
  3. Prepare governmental reports (IRS Form W2s, 940, 941, etc.).
    1. Assist the Payroll Manager with the quarterly and year-end balancing process, including reviewing and filing all federal, state, and local quarterly tax filings prepared and submitted on FHCN’s behalf.
    2. Monthly reconciliation of all statutory withholding accounts for state and federal payroll taxes and related accounts, such as garnishments and voluntary contribution accounts.
    3. Assist the Payroll Manager with creating, reconciling, and filing all W2s in paper and electronic formats by the January 31st deadline.
    4. Prepares reports and data files for audits and legal proceedings.
  4. Other Duties:
    1. Prepare a monthly Worker’s Compensation report
    2. Prepares and reconciles biweekly withholding for 403(b) and 457(c) payroll contributions before the contribution files are transmitted to the plan custodian.
    3. Assist the Payroll Manager in responding to inquiries & notices from state and federal agencies.
  5. Responsible for adhering to the Attendance and Absenteeism Policy, recognizing that regular attendance is considered an essential function of all FHCN positions. Absenteeism is not being at work or failing to attend a paid workshop, training, or event unless the absence is protected by law.
  6. Ability to present to and work at any FHCN location, both at the beginning of a shift or during a shift, based on business need.
  7. Other duties as assigned.

Professional & Technical Knowledge:

Effective June 1, 2026, all individuals hired into the role must:

  1. Possesses proficiency in written and verbal communication, basic mathematics, computer applications, and technical systems frequently acquired through one of the following:
    1. Completion of an Associate’s Degree program with a recognized major and a minimum cumulative GPA of 2.5; or
    2. A combination of relevant experience and completion of a high school diploma with a minimum cumulative GPA of 2.5, or General Educational Development (GED) with a minimum overall score of 162.5, and healthcare-related knowledge frequently acquired through completion of a trade school, para-professional, or certificate type program.
    3. If an individual has completed a degree at a higher level than required by the role and had a stronger GPA in that program, they may provide proof of GPA from that degree in lieu of the high school diploma or Associate’s degree.
  2. Have a minimum of two years of clerical or administrative responsibility in payroll, human resources, or accounting. The performance of the job duties and responsibilities requires user knowledge of payroll-related technologies, databases, spreadsheets, and reporting requirements.
  3. Have a minimum credit score of 650.

Technical Skills:

  1. Ability to prepare more complex documents in Microsoft Word, including creating tables, charts, graphs, and other elements
  2. Ability to use Microsoft Excel to review and compile data, including formulas, functions, lookup tables, and other standard spreadsheet elements.
  3. Ability to create introductory & informative presentations in Microsoft PowerPoint.

Licenses & Certifications: None Required.

  1. Job duties require compiling information prepared in effective written form, including correspondence, reports, articles, or other documentation. Effectively conveys technical information to non-technical audiences.

Pay Scale:

Min Hourly Rate: $21.99

Max Hourly Rate: $30.35
