Job Description

Responsible for ensuring the correct administration, calculation, validation, and timely delivery of payroll for Mexico and, on a regional basis, supporting payroll processes for CALA countries. The position ensures compliance with applicable labor, tax, and social security regulations, as well as the accuracy of payments, deductions, taxes, benefits, and payroll incidences. In addition, it provides support to employees, HR, and internal teams, managing relationships with external vendors, strengthening controls, promoting continuous improvement, and ensuring the confidential handling of information.

The Senior Payroll Analyst is responsible for the accurate, compliant, and timely execution of payroll operations for Mexico, while also providing regional support for CALA payroll processes. This role ensures proper payroll administration, validation, and reconciliation for hourly and salaried employees, including earnings, deductions, taxes, benefits, and statutory obligations.

The position plays a key role in maintaining compliance with labor, tax, and social security regulations, managing payroll vendors, supporting employees and internal stakeholders, and driving process controls and continuous improvement while safeguarding confidential information.

This role serves as a technical and operational point of contact for payroll administration in Mexico, with exposure to regional payroll activities across CALA. The Senior Payroll Analyst is responsible for reviewing and validating payroll inputs and results, ensuring accuracy in payments, deductions, taxes, overtime, bonuses, absences, vacation, sick leave, and employer contributions.

The role requires a strong analytical mindset to identify risks, resolve issues, improve controls, and ensure compliance with payroll calendars, month-end activities, and audit requirements. It also involves close collaboration with payroll vendors, HR, Finance, Accounting, and other stakeholders, as well as providing professional support to employees and managers on payroll-related matters.

Main Responsibilities

  • Administer, execute, and validate payroll processes for Mexico and support regional CALA processes.
  • Validate payroll incidences, adjustments, deductions, overtime, bonuses, commissions, absences, vacation, and sick leave.
  • Ensure compliance with payroll calendars, close dates, and established deliverables.
  • Review, reconcile, and analyze payroll reports, accruals, accounting records, and payment results.
  • Validate calculations for ISR, IMSS, INFONAVIT, FONACOT, social security, and other applicable deductions/contributions.
  • Follow up on employer obligations, statutory payments, taxes, and social security contributions as applicable by country.
  • Manage the operational relationship with external vendors / BPO, ensuring quality, compliance, and service.
  • Design and implement controls, validations, and improvements that reduce errors and strengthen operations.
  • Provide timely and professional support to employee and manager payroll inquiries.
  • Support internal and external audits.
  • Prepare reports, analyses, and payroll operation indicators.
  • Collaborate with Human Resources, Finance, Accounting, and other internal areas to ensure an efficient operation.
  • Monitor legislative changes and assess their impact on payroll.
  • Ensure the integrity, confidentiality, and proper safeguarding of information.
  • Promote knowledge sharing with peers and support the technical development of the team.

Required Qualifications

Education

  • Bachelor’s degree in Administration, Accounting, Human Resources, Finance, or a related field.

Core Payroll Knowledge

  • Solid knowledge of Mexican payroll regulations and practices, including taxes, IMSS, INFONAVIT, FONACOT, social security, deductions, severance, final settlements, aguinaldo, PTU, vacation, and vacation premium.
  • Understanding of payroll compliance requirements, statutory obligations, and the impact of regulatory changes on payroll processes.

Experience Requirements

  • Minimum of 5 years of payroll experience in Mexico.
  • Strong experience processing payroll for both hourly and salaried employees.
  • Experience with payroll reconciliations, month-end close, and audit support.
  • Experience managing external payroll vendors/BPOs.
  • Experience responding to employee payroll inquiries and providing issue resolution.

Systems & Tools

  • Intermediate to advanced Excel skills.
  • Experience with payroll systems and/or ERP platforms.

Languages

  • Fluent in English and Spanish.

Other Requirements

  • Strong analytical skills, attention to detail, and sound judgment in handling confidential information.

Preferred Qualifications

  • Experience supporting regional or multinational payroll operations, ideally across CALA countries.
  • Knowledge of shared services environments.
  • Experience implementing payroll controls, validations, and process improvements.
  • Background in vendor governance or third-party management.
  • Experience working with regional or global stakeholders.
  • Knowledge of process standardization, documentation, and continuous improvement methodologies.
  • Experience with reporting and data analysis tools.
  • Ability to influence stakeholders and contribute to team development.
