The Payroll Specialist is responsible for ensuring the accurate, timely, and compliant administration of payroll and related processes for Heritage Health employees. This position maintains payroll records, processes employee compensation and deductions, supports payroll tax and reporting requirements, and serves as a resource for payroll-related inquiries. The Payroll Specialist works collaboratively with Human Resources, Finance, and organizational leaders to support an exceptional employee experience while maintaining the highest standards of confidentiality, accuracy, and regulatory compliance

Requirements

• Education: High school diploma or equivalent required. Associate’s degree in accounting, Finance, Business, Human Resources, or a related field preferred
• Licensure & Certification: Current Idaho dental license (or eligible by start date), DEA license, Idaho Controlled Substance Registration, NPI number, and active BLS certification.
• Experience: Two (2) years or more of payroll experience required. Experience with payroll systems (Paylocity, ADP, Paychex, UKG, Workday, etc.) Strong Microsoft Excel skills Knowledge of payroll laws, tax regulations, wage and hour requirements, and garnishments

Your Essential Duties:

Payroll Administration & Processing

• Process bi-weekly, supplemental, and off-cycle payrolls accurately and within established deadlines.
• Review, audit, and validate employee time records, earnings, and payroll data.
• Calculate and process wages, overtime, differential pay, bonuses, retroactive pay, and other compensation-related adjustments.
• Ensure payroll transactions are accurately entered, reviewed, and processed within the payroll system.
• Maintain payroll schedules and support timely payroll completion.

Employee Records & Data Management

• Maintain accurate and confidential payroll records, employee pay information, tax elections, and direct deposit data.
• Enter and update employee payroll information, including wage changes, deductions, and employment status updates.
• Develop, manage, and maintain comprehensive payroll files and supporting documentation.
• Ensure payroll records are retained and maintained in accordance with organizational and regulatory requirements.

Benefits, Deductions & Tax Administration

• Administer employee payroll deductions, including benefit premiums, retirement contributions, HSA/FSA deductions, garnishments, and levies.
• Process and reconcile payroll-related deductions and employer contributions.
• Produce and submit payroll tax payments and assist with payroll tax reporting requirements.
• Support year-end payroll activities, including W-2 processing and reconciliation

Compliance, Auditing & Reporting

• Ensure payroll practices comply with applicable federal, state, and local laws, regulations, and organizational policies.
• Reconcile payroll reports and investigate discrepancies to ensure accuracy.
• Prepare payroll-related reports and documentation for leadership, auditors, and regulatory agencies.
• Assist with internal and external payroll audits by compiling records and responding to information requests.
• Monitor payroll processes and recommend improvements that increase accuracy, efficiency, and compliance.

Employee Support & Customer Service

• Serve as a resource for employees regarding payroll-related questions, deductions, tax withholdings, timekeeping, and pay concerns.
• Research and resolve payroll discrepancies in a timely, professional, and confidential manner.
• Complete requests for employment verifications, wage statements, and other payroll-related documentation.
• Provide exceptional customer service while maintaining confidentiality and professionalism.

Collaboration & Continuous Improvement

• Partner with Human Resources, Finance, Benefits, and department leaders to ensure accurate employee and payroll data.
• Assist with payroll system testing, upgrades, implementations, and process enhancements.
• Support departmental projects and initiatives that improve payroll operations and employee experience.
• Perform other duties and special projects as assigned.
