Position Overview
The Payroll Specialist is responsible for supporting the end-to-end payroll processing for JLL's Malaysia operations, ensuring accurate and timely delivery of payroll services while maintaining compliance with local statutory requirements and company policies.
Key Responsibilities
Payroll Processing & Administration
- Process monthly payroll for Malaysia employees, ensuring accuracy in salary calculations, deductions, allowances and benefits
- Manage payroll inputs including new hires, terminations, salary changes, leaves, overtime and other payroll-related transactions
- Verify and validate payroll data before processing to ensure accuracy and compliance
- Process off-cycle payments, bonuses, commissions and other ad-hoc payments as required
- Maintain accurate employee payroll records and documentation
Compliance & Statutory Requirements
- Ensure compliance with Malaysian statutory requirements including EPF (Employees Provident Fund), SOCSO (Social Security Organization), EIS (Employment Insurance System) and PCB (income tax deductions)
- Prepare and submit monthly statutory contributions and reports within required deadlines
- Support year-end tax filing processes including EA forms and related documentation
- Stay updated on changes to Malaysian payroll legislation and implement necessary adjustments
Reporting & Analytics
- Prepare monthly payroll reports for management review including payroll summaries, cost center reports and variance analysis
- Generate ad-hoc reports to support HR and Finance teams
- Reconcile payroll accounts and liaise with Finance on GL postings and payroll-related queries
Employee Support & Query Resolution
- Respond to employee payroll inquiries professionally and in a timely manner
- Provide guidance on payroll policies, procedures and statutory matters
- Support employees with payslip access and payroll-related system navigation
Process Improvement & System Management
- Identify opportunities to streamline payroll processes and improve efficiency
- Support payroll system upgrades, testing and implementation of new functionality
- Maintain payroll documentation including procedures, guidelines and reference materials
Qualifications & Experience
Required:
- Bachelor's degree in Human Resources, Accounting, Finance or related field
- Minimum 2-3 years of payroll processing experience in Malaysia
- Strong understanding of Malaysian payroll statutory requirements (EPF, SOCSO, EIS, PCB)
- Proficiency in payroll systems and MS Excel (intermediate to advanced level)
- Strong numerical accuracy and attention to detail
- Excellent communication skills in English and Bahasa Malaysia
Preferred:
- Experience with HRIS/payroll systems (Workday, SAP or similar platforms)
- Knowledge of Malaysian Employment Act and labor regulations
- Professional certification in payroll or HR
