We are seeking an experienced Payroll Manager (m/f/d) to join our dynamic finance team in Warsaw.

Reporting to the GBS Center Lead, the GBS Payroll Manager will be responsible for the operational and strategic oversight of payroll processes across multiple European countries, ensuring full compliance with local regulations and company policies

The role will manage payroll process, drive standardization, efficiency, and governance across the payroll function, and provide leadership to payroll specialists within the region

The GBS Payroll Manager will collaborate closely with HR, Finance, and external stakeholders, including third-party payroll providers, to ensure accurate, timely, and high-quality payroll service delivery. The position requires strong vendor-management capabilities and the ability to maintain productive, service-oriented relationships with external partners.

Responsibilities

  • Lead and oversee payroll operations across multiple European countries, ensuring accuracy, timeliness, and compliance.
  • Manage, mentor, and develop the payroll team, ensuring clear performance expectations and adherence to SLAs.
  • Validate and approve payroll inputs and outputs, including statutory deductions, tax requirements, and social security contributions.
  • Ensure full compliance with local labour laws, tax regulations, corporate policies, and internal control standards.
  • Drive payroll standardisation, harmonisation, and automation across the region to increase efficiency and reduce manual work.
  • Maintain and continuously improve payroll process documentation (SOPs, work instructions, checklists).
  • Proactively identify process gaps and lead the implementation of best practices and optimisation initiatives.
  • Serve as the key point of contact for HR, Finance, internal stakeholders, and external payroll vendors.
  • Oversee vendor performance, ensuring high‑quality, service‑oriented delivery from third‑party payroll providers.
  • Support internal and external audits, ensuring high data integrity and robust documentation.
  • Prepare payroll metrics, dashboards, and analytics for management review and decision-making.
  • Manage escalations, resolve complex payroll issues, and ensure timely execution according to the regional payroll calendar.
  • Collaborate with cross‑functional teams in a shared‑services environment to secure seamless payroll operations and continuous improvement.

Qualifications

  • Bachelor’s degree in Finance, Accounting, HR, Business Administration, or related field.
  • Minimum 5 years of payroll experience, including hands-on multi-country exposure.
  • 3–5 years of people-management experience within a shared-services or business-services environment.
  • Strong understanding of European payroll legislation, compliance, tax, and social security regulations.
  • Experience working with multiple payroll systems (e.g., SAP, eView, HRIS platforms).
  • Proven vendor-management experience with third‑party payroll providers.
  • Excellent leadership, communication, and stakeholder‑management capabilities.
  • Strong analytical and problem‑solving skills with attention to detail.
  • Experience leading or contributing to payroll transformation, automation, or standardisation projects.
  • Fluency in English; additional European languages are an advantage.
