About Us: is seeking an experienced, detail-oriented, and highly analytical Payroll Manager to oversee all in-house payroll operations and associated compliance activities. This role is responsible for ensuring the accurate and timely processing of payroll for approximately 350 employees across multiple pay groups, maintaining compliance with federal, state, and local regulations, administering payroll systems, and leading payroll process improvements.
What You will Do: The ideal candidate is a hands-on payroll professional with strong technical expertise, exceptional problem-solving abilities, and a commitment to accuracy, confidentiality, and customer service. This position will play a key role in the implementation and ongoing administration of the organization's new payroll platform, Sage Intacct.
Your responsibilities will include:
Payroll Processing
· Manage and oversee all in-house payroll operations, including:
o Semi-monthly executive payroll for more than 80 employees.
o Weekly field payroll for more than 250 employees.
· Ensure accurate and timely payroll processing for approximately 350 employees.
· Review payroll data for accuracy, including hours worked, overtime, incentive pay, and other special payments.
· Validate employee deductions, garnishments, benefit premiums, tax withholdings, and direct deposit information.
· Investigate and resolve payroll discrepancies, demonstrating strong analytical and problem-solving skills.
· Process manual checks, off-cycle payrolls, retroactive payments, and final paychecks in compliance with applicable laws and company policies.
· Reconcile payroll reports and verify payroll data prior to transmission and release.
Compliance and Tax Administration
· Ensure compliance with all federal, state, and local payroll regulations, wage and hour laws, and tax requirements.
· Maintain adherence to Fair Labor Standards Act (FLSA) regulations and other applicable labor laws.
· Oversee and process payroll tax filings, deposits, and reporting requirements, including:
Quarterly Form 941 filings, Annual Form 940 (FUTA) filings, W-2 preparation and distribution, State and local payroll tax filings and reporting
· Coordinate year-end payroll processing activities and required tax reporting.
· Monitor legislative and regulatory changes affecting payroll practices and implement process updates as needed.
Payroll Systems Administration
· Partner with Human Resources, Finance, and Information Technology to support the implementation of Sage Intacct payroll functionality and related process improvements.
· Participate in system configuration, testing, validation, and payroll parallel testing activities.
· Verify payroll calculations and system functionality following updates or enhancements.
· Ensure the integrity, security, and confidentiality of payroll data.
· Following implementation, serve as the primary administrator for payroll software, employee payroll records, and payroll system configurations.
Auditing and Reconciliation
· Perform routine payroll audits to identify and correct discrepancies.
· Reconcile payroll-related general ledger accounts and payroll transactions.
· Balance payroll, tax, and benefit reports each pay period and at month-end.
· Assist with internal and external audits by providing payroll documentation, reports, and supporting schedules.
· Maintain strong internal controls and payroll procedures to ensure compliance and accuracy.
Benefits and Deductions Administration
· Partner with the Benefits Manager to ensure accurate payroll deductions for health, dental, vision, life insurance, retirement plans, and other voluntary benefits.
· Verify the accuracy of employee deductions and employer contributions.
· Assist with benefit-related payroll reconciliations and reporting as needed.
Reporting and Analytics
· Prepare payroll reports, analyses, and workforce metrics for leadership.
· Generate reports related to labor costs, overtime, headcount, payroll expenses, and workforce trends.
· Partner with Finance to support budgeting, forecasting, payroll accruals, and other financial reporting requirements.
Cross-Functional Collaboration
· Work closely with Human Resources regarding employee status changes, compensation adjustments, promotions, leaves of absence, and terminations.
· Collaborate with Finance to ensure proper payroll funding, reconciliations, and accounting treatment.
· Serve as a trusted payroll subject matter expert and resource for employees, managers, and leadership.
Leadership and Team Development
· Supervise Payroll Specialists, Payroll Coordinators, and/or other payroll staff.
· Develop, document, and maintain payroll procedures and internal controls.
· Train, mentor, and support team members.
· Establish service standards and monitor payroll performance, accuracy, and compliance metrics.
· Promote continuous improvement and operational efficiency within payroll processes.

Qualifications Required / Preferred: Bachelor’s degree in accounting, Finance, Human Resources, Business Administration, or a related field preferred.
· Minimum of five (5) years of progressive payroll experience.
· Minimum of two (2) years of payroll leadership or supervisory experience preferred.
· Experience processing payroll for organizations with 300 or more employees.
· Experience managing multi-state payroll processing is preferred.
Knowledge, Skills, and Abilities
· Comprehensive knowledge of payroll administration, payroll tax regulations, and wage and hour compliance requirements.
· Experience working with payroll and HRIS systems, including Sage Intacct, BambooHR, ADP, Paylocity, UKG, Workday, Ceridian, Paycom, or similar platforms.
· Advanced proficiency in Microsoft Excel and payroll reporting tools.
· Strong analytical, problem-solving, and reconciliation skills.
· Exceptional attention to detail and commitment to accuracy.
· Ability to manage multiple priorities and meet critical deadlines.
· Strong interpersonal, communication, and customer service skills.
· Ability to maintain strict confidentiality of sensitive employee and organizational information.
