Payroll Coordinator x 2 - Band C

Location: Swindon or Newport, hybrid working available
Salary: £27,756

About the role
We are looking for a Payroll Coordinator to join our HR Operations team. In this role, you will play a key part in delivering accurate, compliant and customer-focused payroll services for a range of clients. You will help ensure our payroll processes run smoothly across multiple platforms, contributing to high-quality outcomes and a great service experience for our users.

Our hybrid working model supports flexibility, with most colleagues working primarily from home but typically spending around 20% of their time in the office for training, collaboration and team connection. All new starters receive a structured training programme to help you settle in and gain a solid understanding of our systems and processes.

UKSBS is a public sector shared service centre delivering high-quality HR, Payroll, Finance, Procurement and IT services to our partners. Working in HR Operations means joining the heart of our service delivery-ensuring efficient, compliant and customer-focused outcomes.

Successful candidates will be required to undergo Security Clearance (National Security Vetting) as part of their employment. To meet these standards, applicants must normally have lived in the UK for at least the last five years and be able to satisfy background, identity and criminal record checks.

The duties of the role include, but are not limited to the following:

  • Coordinate the end-to-end monthly payroll cycle for assigned clients
  • Respond to complex payroll queries in line with SLAs, escalating where required
  • Collaborate with internal and external stakeholders to resolve payroll issues
  • Calculate complex overpayments using manual and system-based methods
  • Complete critical payroll activities including court orders, BACS runs, FPS RTI submissions, and statutory payments
  • Perform pension checks and respond to pension-related queries
  • Undertake peer checks on payroll inputs and outputs
  • Act as a buddy/mentor for new Payroll Administrators
  • Maintain detailed payroll records for reporting and audit purposes
  • Contribute to process improvements and support ad hoc project work as required

To do this role well you must be able to demonstrate the following:

  • Previous experience working within a Payroll department handling large or multiple payrolls
  • Strong understanding of payroll processes, statutory guidelines, compliance requirements and best practice
  • Proficiency in payroll systems and tools, including experience using Workday or similar platforms
  • High level of numeracy and strong attention to detail
  • Good computer literacy across Microsoft Office, particularly Excel
  • Excellent organisational skills with the ability to meet tight deadlines
  • Strong analytical and problem-solving skills
  • Ability to clearly explain payroll information to non-payroll colleagues and end users
  • Supervisory, coaching or mentoring experience
  • Strong commitment to delivering high-quality, customer-centric service
  • High degree of numeracy; Maths & English GCSE A–C (or equivalent experience)

The below are not essential, but would be advantageous:

  • CIPP qualification or equivalent experience
  • Experience working within Shared Services or public-sector payroll
  • Experience managing third-party suppliers
