Reporting to the Payroll Manager, the Payroll & Benefits Specialist will support the accurate and timely processing of bi-weekly payroll for three individual companies. This role is responsible for payroll and benefits administration, reconciliations, reporting, analysis, and periodic activities that help maintain the integrity of employee and financial information. The successful candidate will work closely with internal teams and external partners, bringing strong attention to detail, confidentiality, customer service, and a commitment to continuous improvement.

WHAT YOU’LL DO
• Process full-cycle bi-weekly payroll using Dayforce.
• Act as a key point of contact for payroll and benefits-related inquiries.
• Review timesheets and follow up with supervisors and managers to resolve errors or discrepancies.
• Update payroll records, including taxation, deductions, earnings set-up, and group benefit premiums.
• Verify payroll adjustments and pay data from all sources in line with payroll cycles and timelines.
• Support and resolve payroll inquiries by providing accurate and consistent interpretation of legislation, company policies, and procedures.
• Review and audit new hire and termination documentation to ensure accuracy and completeness.
• Administer the group benefit plan and Group RRSP.
• Reconcile and prepare journal entries, periodic remittance requests, union dues, group benefit invoices, WSIB, and related items.
• Assist with year-end tax slips, year-end summary filings, and rollover activities into the new year.
• Adhere to the Collective Agreement and ensure compliance under the ESA and CLC.
• Maintain strong working knowledge of payroll systems and stay current on legislative and regulatory changes impacting payroll.
• Initiate and participate in process improvement initiatives.
• Protect employee confidence and payroll operations by maintaining strict confidentiality.
• Support other duties and projects as required.
WHAT WE’RE LOOKING FOR
• Minimum 5 years of payroll processing experience, preferably with Dayforce or a similar integrated HRIS system.
• Certified payroll designation, or progress toward designation, is considered an asset.
• Post-secondary education with a focus on administration, accounting, payroll, or a related field is preferred.
• Highly organized and detail-oriented, with strong follow-up skills.
• Excellent interpersonal, communication, and customer service skills.
• Proficiency with Microsoft Office applications, with strong Excel skills.
• Ability to meet deadlines and work effectively under pressure, including interruptions and competing priorities.
• Independent, logical, and methodical thinker who also thrives as part of a team.
• Self-motivated, eager to learn, and ready to take on new challenges.
• For the successful candidate, natural attrition may create opportunities for rapid advancement.

WORKING CONDITIONS
• Hybrid work environment (office and remote)
• Flexibility required based on payroll cycles and business needs
• Occasional travel to other Ippolito locations may be required
