Payroll and Benefits Associate
The Payroll and Benefits Associate is primarily responsible for managing employee timekeeping processes while providing support in payroll, compensation & benefits, documentation, and HR administrative tasks. The role ensures accurate recording of employee work hours, proper documentation of HR-related transactions, and timely support for payroll and benefits operations.
1. Timekeeping
• Maintain and oversee accurate employee timekeeping records, including attendance, overtime, leaves, schedule changes, holiday duty, rest day duty, and official business filings.
• Review and approve timekeeping requests in accordance with company policies.
• Update the timekeeping system, ensuring proper documentation and audit trails.
• Process holiday swaps and schedule adjustments.
• Generate timesheet reports for departmental verification and audits.
• Serve as the primary contact for timekeeping issues and coordinate with the system provider for technical support.
2. Employee Support
• Respond to employee inquiries related to timekeeping, payroll, and benefits.
• Provide guidance on policies, processes, and documentation requirements.
• Coordinate with relevant teams or external providers to resolve employee-reported concerns.
3. Payroll Support
• Assist in payroll processing by reviewing and validating timesheets prior to payroll runs.
• Support preparation of statutory payroll requirements, including 13th month pay, leave encashment, and BIR Form 2316.
• Assist in verifying government contributions (SSS, PhilHealth, Pag-IBIG) for accuracy and compliance.
4. Compensation & Benefits
• Support HMO and life insurance administration, including enrollment of new hires and updates for separated employees.
• Support in administration of company benefits, such as travel allowance and perfect attendance bonus.
5. Documentation
• Prepare and release payroll-related and HR documents, such as CTC of pay slips, BIR Form 2316, and other required records.
• Prepare and release certification documents for HMO eligibility and government contributions.
6. Onboarding and Offboarding
• Assist with onboarding by enrolling new hires in benefits and HRIS systems, including enrollment of bank payroll account.
• Support offboarding by reviewing clearance forms, preparing quitclaim waivers and COE, and coordinating final payroll and benefits settlements.
• Ensure all system updates and documentation are complete for incoming and outgoing employees.
7. Administrative & System Support
• Resolve timekeeping and payroll-related tickets through the company’s system.
• Perform general administrative and clerical duties related to payroll, benefits, and timekeeping operations as assigned.
• Perform any additional tasks as may be assigned in the future to support HR, payroll, and benefits operations.
