Job Description

The Payroll and Benefits Administration Specialist performs a variety of payroll activities including regular payroll processing, retroactive payments, final pay calculations, disability and workers' compensation payments, garnishments, tax-related adjustments, Automated Clearing House (ACH) transactions, wire transfers, and other payroll exceptions. The role partners closely with Human Resources, Finance, and business leaders to ensure payroll practices comply with company policies, regulatory requirements, and applicable laws.

Key Responsibilities

  • Process payroll transactions accurately and within established timelines, including regular pay, supplemental pay, retroactive adjustments, and final pay calculations.
  • Review and validate payroll data to ensure accuracy and compliance with applicable payroll policies and procedures.
  • Administer payroll-related transactions including garnishments, disability payments, workers' compensation payments, ACH adjustments, wire transfers, and other special payments.
  • Research, investigate, and resolve payroll discrepancies, exceptions, and escalated issues.
  • Respond to employee and manager inquiries regarding payroll, earnings statements, deductions, taxes, and benefits-related matters.
  • Maintain employee payroll and benefits records while ensuring data accuracy and confidentiality.
  • Support payroll audits, reconciliations, reporting activities, and compliance reviews.
  • Partner with Human Resources, Benefits, Finance, and external vendors to ensure effective administration of payroll and benefit programs.
  • Identify opportunities to improve payroll processes, controls, and operational efficiency.
  • Assist with testing and implementation of payroll system enhancements, updates, and process improvements.
  • Ensure compliance with federal, state, local, and company payroll regulations and requirements.
  • Maintain current knowledge of payroll legislation, tax requirements, and industry best practices.

Basic Qualifications

  • High school diploma or equivalent.
  • Two or more years of payroll processing experience.

Preferred Qualifications

  • Associate's or Bachelor's degree in Human Resources, Accounting, Business Administration, Finance, or a related field.
  • Experience supporting payroll administration in a large, complex organization.
  • Familiarity with payroll systems, HRIS platforms, and automated payroll processing tools.
  • Knowledge of payroll tax regulations, wage and hour requirements, garnishments, and related compliance requirements.

Preferred Skills and Experience

  • Strong reading, writing, numerical, and analytical skills.
  • Demonstrated administrative and organizational skills with strong attention to detail.
  • Ability to identify issues, analyze data, and resolve payroll exceptions effectively.
  • Proficient computer skills, including Microsoft Office applications and payroll processing systems.
  • Strong customer service and relationship management skills.
  • Effective verbal and written communication skills.
  • Ability to prioritize and manage multiple tasks while meeting deadlines in a fast-paced environment.
  • Strong problem-solving and critical-thinking skills.
  • Ability to work independently and collaboratively across teams.
  • Demonstrated ability to maintain strict confidentiality and handle sensitive employee information with discretion.

This role requires working from a U.S. Bank location three (3) or more days per week.
