The Payroll Analyst is responsible for supporting the accurate, timely, and compliant processing of multi-state payroll operations while providing analytical oversight of payroll, benefits, and general ledger activities. This role serves as a key resource in ensuring payroll accuracy, financial reconciliation, regulatory compliance, and process efficiency. The Payroll Analyst partners with Human Resources, Finance, and operational leaders to investigate discrepancies, resolve payroll issues, support audits, and improve payroll processes and reporting capabilities.

Key Performance Areas

KPA 1 – Payroll Processing and Execution

  • Support full-cycle payroll processing for multi-state payrolls under guidance of senior team members.

  • Review payroll data for accuracy prior to transmission and processing.

  • Process off-cycle payrolls and adjustments as needed/required.

  • Understand and use proper employee classification in payroll processing.

  • Work in coordination with HR and Benefits on employee changes that affect payroll.

  • Track important pay dates and deadlines (i.e., holidays, special payroll runs).

  • Timely reporting to management prior to completion of scheduled payroll.

KPA 2 – Reconciliation and Financial Accuracy

  • Perform payroll-related general ledger (GL) reconciliations under supervision.

  • Investigate and resolve payroll discrepancies and exceptions.

  • Monitor and resolve payroll exceptions and support time tracking corrections.

  • Reconcile 401(k) contributions and other benefit deductions.

  • Support month-end and year-end close processes.

  • Assist with design and implementation of workflow updates to improve accuracy and efficiency.

KPA 3 – Payroll Analysis, Reporting and Compliance

  • Analyze payroll reports and prepare ad hoc reporting as requested by manager and/or other relevant departments.

  • Create, run and maintain reports to support payroll reconciliation and accuracy.

  • Support audits and compliance reporting activities.

  • Administer garnishments and ensure compliance with federal and state regulations.

  • Understand general payroll taxation of lived in/worked in locations of employees.

  • Inform manager of new tax jurisdictions needing registration as new people are hired and new locations are opened.

KPA 4 – Systems Management and Process Improvement

  • Utilize Payroll processing and tax management systems efficiently for payroll processing and reporting.

  • Support payroll team in navigating payroll systems.

  • Identify process improvements and provide feedback for better process efficiency for the department.

  • Maintain accurate employee information in payroll systems.

Position Qualifications

Education

  • Associate’s degree in Accounting, Finance, Human Resources, Business Administration, or related field required.

  • Bachelor’s degree preferred.

Minimum Relevant Experience

  • Minimum of 3–5 years of payroll processing and payroll analysis experience.

  • Experience supporting multi-state payroll operations required.

  • Experience with payroll reconciliations, payroll reporting, and issue resolution preferred.

  • Prior experience with Workday, ADP, or similar payroll/HRIS systems preferred.

Skills

  • Strong knowledge of payroll regulations, wage and hour laws, payroll taxes, and garnishment requirements.

  • Advanced analytical and problem-solving skills with strong attention to detail and accuracy.

  • Proficient Microsoft Excel skills, including data analysis and reconciliation functions.

  • Ability to interpret payroll data and identify discrepancies or trends.

  • Strong organizational and time management skills with the ability to manage multiple deadlines.

  • Effective written and verbal communication skills.

  • Ability to maintain confidentiality and handle sensitive employee information with discretion.

  • Ability to collaborate effectively with Human Resources, Finance, and operational teams.
