Job Description

Purpose

The Payroll Specialist is responsible for ensuring employees are paid accurately and on time while maintaining full compliance with all applicable laws, regulations, and company policies throughout the payroll process.

Key Missions

  • Calculate and process gross-to-net payroll, including salaries, overtime, shift differentials, commissions, bonuses, deferred compensation, benefits, deductions, and payroll-related liabilities.
  • Maintain and update payroll employee records, including compensation changes, benefits enrollment, statutory deductions, new hires, terminations, and leaves of absence.
  • Verify payroll data for accuracy and completeness prior to processing and resolve discrepancies as needed.
  • Ensure compliance with applicable payroll legislation, labor laws, union agreements, and tax regulations across jurisdictions.
  • Respond to payroll-related inquiries from employees and managers in a timely and professional manner.
  • Track and administer paid time off, sick leave, and other absences in accordance with company policy and regional requirements.
  • Prepare payroll inputs for regular payrolls, off-cycle payments, and final settlements.
  • Prepare documentation and reports required for internal controls, audits, and external inquiries.
  • Partner with HR, Finance, Legal, HR Operations, and HR Business Partners to support payroll accuracy and compliance.
  • Participate in payroll projects, system implementations, audits, and continuous process improvement initiatives.

Technical & Functional Skills

  • Payroll processing and administration
  • U.S. payroll tax compliance (multi-jurisdiction)
  • Union payroll administration and collective bargaining agreement (CBA) interpretation
  • Payroll audits and internal controls
  • Payroll systems and data management
  • HRIS and applicant tracking systems (e.g., ADP Workforce Now, iCIMS)
  • Compliance and regulatory knowledge
  • Basic accounting and numerical accuracy
  • Understanding of currency translation
  • Project and change management

Experience & System Requirements

  • 1–2 years of experience with ADP Workforce Now (U.S. version)
  • Experience with ADP Workforce Now Custom Reporting
  • U.S. multi-jurisdiction payroll experience, including Pennsylvania local taxes
  • U.S. union payroll experience, including CBAs and union-specific deductions
  • Intermediate to advanced Microsoft Excel skills (VLOOKUPs and Pivot Tables)
  • Experience working with HRIS platforms and ATS systems – Required

Qualifications

  • Bachelor’s degree required; an equivalent combination of education and relevant work experience may be considered
  • 1–2 years of payroll experience supporting a large employee population
  • Working knowledge of U.S. payroll processes
  • Proficiency in the Microsoft Office Suite, including Excel, Word, and Outlook
  • Demonstrated ability to work independently and communicate effectively across all levels of the organization
  • English proficiency required (written, spoken, and comprehension)
  • PeopleHUB experience highly preferred
  • Canadian payroll experience strongly preferred
