Our Patient Services Representatives are often the very first impression our patients have of our practice — serving as the welcoming face and supportive guide throughout their visit. From greeting patients with compassion to helping ensure a smooth check-in and check-out experience, this role is essential to both exceptional patient care and the success of our team.

No prior medical office experience? No problem! While previous office experience is helpful, we provide a comprehensive training program to help you succeed and grow in your career. The Patient Services Representative serves as a liaison between patients, providers, clinical staff, insurance companies, and the Central Billing department. This role is responsible for creating a seamless patient experience through excellent customer service, accurate scheduling, insurance verification, patient registration, and administrative support.

ESSENTIAL RESPONSIBILITIES

  • Greet patients in a friendly, professional, and compassionate manner
  • Answer incoming phone calls and assist with scheduling appointments, patient communications, and recalls
  • Respond to patient questions regarding billing, procedures, office policies, and available services
  • Prepare and maintain patient charts and documentation accurately
  • Verify insurance information and obtain necessary authorizations or referrals
  • Process patient check-in and check-out efficiently, including collecting and posting payments
  • Submit clean insurance claims and accurately enter information into the electronic health record (EHR) system
  • Monitor patient flow and communicate delays professionally and proactively
  • Complete end-of-day responsibilities including balancing cash drawers, processing deposits, and reviewing reports
  • Maintain a clean, safe, and professional office environment
  • Perform additional duties as assigned by leadership and providers

PHYSICAL DEMANDS & WORK ENVIRONMENT (per ADA guidelines)

Physical Activity

Standing, walking, stooping, grasping, typing, and manual dexterity are regularly required. Visual and verbal acuity are necessary to ensure accuracy, thoroughness, and quality of work.

Physical Requirements

Must be able to regularly lift:

  • Up to 15 pounds from floor to waist
  • Up to 5 pounds from waist to shoulder
  • Up to 5 pounds from shoulder to overhead

Work Environment

Professional medical office environment.
