The Opportunity:

As the Patient Services Coordinator, you will serve as the primary contact for the Student Wellness Center for staff, faculty, and students seeking information and services from our Health and Counseling Services programs. You will advise and schedule students seeking counseling or health appointments, serve as the day-to-day contact for administration of the Health Services program including promotions, and ensure contract compliance with third-party service providers. Additionally, you will support the work of the full-time mental health counselors.


As the lead for our Electronic Medical Records (EMR) system, you will provide physical and mental health record related information to authorized medical providers and mental health clinicians, staff, and/or third-party agents regarding clients/patients. In this position, you will ensure compliance of records with applicable policies, state and federal requirements and/or regulations.

Additionally, the coordinator will be responsible for maintaining data, reconciling expenditures and budgets; coordinating health and wellness promotion, general orientation for new hires, work schedules and supporting searches for new hires. You will help organize and support office operations as well as manage equipment inventory.


Because this position serves as the initial contact for students seeking counseling and health services and as part of the check-in for appointments, you will be required to be on campus when students and staff are present.

Additional Information:

This is a full (100 % FTE), permanent position. This position is overtime eligible.

Monthly Salary: $3,738 to $4,980 Monthly (Steps A-M) | Range 41 | Successful candidates are typically hired at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28

In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position.

Required Qualifications:

  • High school graduation or equivalent AND three years of general office experience or two years of office or customer service experience in a healthcare setting; OR equivalent education/experience.

  • Experience working with reception or records in an office setting, preferably in healthcare or mental health with emphasis on client/patient service.

  • Demonstrated ability to work effectively with diverse clients/patients, medical or mental health providers, and colleagues.

Preferred Qualifications:

  • Accurate and effective communication skills; both verbal and written.

  • Proficient experience with computers, including advanced features, with Microsoft Outlook, Word, Excel, and Access.

  • Experience working with diverse populations such as non-traditional, first-generation, low income, and students with disabilities.

  • Experience with providing administrative support for a student focused program in a university setting.

  • Experience with electronic record-keeping.
