This role combines advanced referral management responsibilities with front-office patient support in a busy specialty practice. The ideal candidate will be comfortable working at the front desk, assisting patients with check-in and check-out, answering phones, scheduling appointments, verifying demographics and insurance information, and coordinating referrals and authorizations. This position serves as a key resource for both patients and staff, helping ensure a seamless and compassionate experience throughout the patient's care journey.

What You'll Do

Key Responsibilities

  • Process and manage patient referrals, authorizations, and related follow-up activities for at least 50% of the role.
  • Coordinate scheduling and patient access to ENT, allergy, and specialty services, testing, and follow-up care.
  • Support front-desk operations, including patient check-in and check-out, appointment scheduling, and answering incoming phone calls.
  • Verify and update patient demographics, insurance information, and registration details to ensure accurate medical records and billing.
  • Serve as a welcoming first point of contact for patients, delivering exceptional customer service and a positive patient experience.
  • Perform Dimensions super-user functions, including practice support with Epic workflows and troubleshooting.
  • Monitor and manage miscellaneous work queues to ensure timely resolution of patient, clinical, and operational needs.
  • Collaborate closely with providers, nursing staff, and care teams to coordinate patient care and facilitate efficient office operations.
  • Maintain accurate documentation and ensure compliance with organizational policies and regulatory requirements


What We're Looking For

  • Education: High School Diploma, required.
  • Experience: Three years of experience in a medical office setting, required. Other related experience may be considered in lieu of medical office experience.
  • Additional Skills Required: Knowledge of medical office software for the following: updating patient demographic information, posting charges, copays, and scheduling patient appointments. Requires understanding of CPT and ICD9-CM coding processes. Requires excellent verbal communication skills. Must be able to work with changing priorities. Requires excellent organizational, problem solving and critical thinking skills. Must be able to interact with individuals of all cultures and levels of authority. Requires the ability to maintain confidentiality. Must be able to function as part of a team. Must possess initiative. Basic medical terminology required, knowledge can be obtained through formal classes or work experience. High level of working knowledge of EPIC systems. Detailed knowledge of multiple payors’ billing requirements. Familiarity of coding requirements for practice specialty.
  • Additional Skills Preferred: Proficient in the use of all computer software utilized in the practice.
