Job Category: Health CareDermatology Specialists of Dallas is seeking a polished, patient-focused Patient Service Representative (PSR) to support the daily operations of our clinic. This role is essential in creating a welcoming, efficient, and professional experience for every patient while ensuring the smooth flow of front office activities. The ideal candidate delivers exceptional customer service, demonstrates strong administrative skills, and maintains strict compliance with patient privacy and regulatory standards. RESPONSIBILITIES
Patient Experience & Front Desk Operations
- Greet patients and caregivers with warmth and professionalism, creating a positive first impression.
- Assist with patient check-in and check-out processes, ensuring accuracy and efficiency.
- Maintain clean, organized, and comfortable public spaces, including reception and waiting areas.
- Support patient flow by communicating effectively with providers and clinical staff.
Scheduling & Administrative Support
- Schedule and reschedule patient appointments as needed.
- Prepare charts for the following business day to support clinic readiness.
- Confirm and update patient demographics within the practice management system.
- Assist patients with required consents and documentation, including collecting copies of identification and insurance cards.
- Document and follow up on no-shows as appropriate.
- Distribute incoming faxes and process medical records requests in accordance with HIPAA guidelines.
Insurance & Financial Responsibilities
- Verify insurance eligibility and benefits, including documenting copays, deductibles, and coinsurance.
- Obtain required prior authorizations or referrals before patient visits.
- Notify patients of financial responsibility at check-in when applicable.
- Collect and post payments for copays, deductibles, elective procedures, cosmetic services, and product sales.
- Perform end-of-day reconciliation, fee ticket batching, and cash balancing with a high level of accuracy.
- Scan completed fee tickets into patient charts.
Systems & Communication
- Competently use practice management software, EMR systems, and standard office applications.
- Maintain daily communication portal login and coordination with call center operations.
- Relay timely updates between patients, providers, and staff to ensure seamless service delivery.
Compliance & Professional Standards
- Adhere to HIPAA, OSHA, and all federal and state regulations related to patient care and privacy.
- Support a respectful and collaborative work environment.
- Perform additional duties as assigned by management.
Qualifications
- High school diploma or equivalent required.
- Minimum of 1 year of customer service experience; healthcare experience preferred.
- Prior dermatology office experience is a plus.
- Bilingual Spanish skills are a plus but not required.
- Professional demeanor appropriate for a clinical dermatology setting.
- Strong attention to detail and results-oriented mindset.
- Ability to manage multiple priorities in a fast-paced, evolving environment.
