Job Description
Under general direction of the Patient Registration Supervisor, performs registration process for all patients. Exhibits the F.I.R.S.T. values (Friendliness, Innovation, Respect, Service, and Trust).
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:
- Performs the Registration process which includes: Obtaining and entering all patient demographic and insurance information into the computer system for inpatient, outpatient and emergency room patients.
- Obtains proper signatures on all documents included in the Registration process.
- Screens patients for the ability to make payment at time of service including any deposits or insurance co-pays.
- Scans accurate copies of any orders, consent for treatment, insurance cards, driver’s license, charity forms and other forms into the Meditech system in accordance with departmental policy.
- Obtains and verifies that Physician orders are complete and accurate.
- Completes the Medicare Secondary Payer Questionnaire accurately.
- Utilizes Passport software to verify insurance information and post confirmation into BAR notes.
- Utilizes Passport software to verify Medical Necessity. Calls ordering provider offices for additional diagnosis when needed. Issues ABN if required and collects any monies due.
- Utilizes Passport software to run PPE for estimated patient responsibilities and collect monies due. If patient is self-pay, calls ordering providers’ office to see if test is emergent or urgent if not reschedules test until patient can pay.
- Utilizes Experian PaySafe to record credit/debit card payments.
- Researches and works returned mail from all facilities. Corrects addresses when correct information is obtained.
- Directs patients and/or visitors to other departments/areas of the hospital.
- Accountable for problem solving/critical thinking as well as serving as a patient advocate.
- Maintains confidentiality in regard to patients protected health information.
- Stays current with any changes/additions to policy and procedures for the department.
- Stays familiar with down time procedures for system outages and performs duties effectively.
- Serves as backup cashier by handling inquires on account balances as well as receiving and recording payments.
- Maintains ability to take payments and balance out cash drawer.
- Accesses Meditech’s EMR to obtain electronic orders.
- Record of call to Insurance companies after hours and on weekends.
- Knowledge of Meditech charge master and ICD9 (ICD10) diagnosis codes.
- Pre-registers, organizes, and distributes all needed information and materials (for admissions).
- Monitors orders received through fax system to properly distribute (non-scheduled vs. scheduled vs. not Ephraim and needed to be sent elsewhere).
- Maintains a working knowledge of all insurance, managed care, third part, and governmental insurance plans.
- Must be able to work independently and deal with stressful situation when registering and verifying information with patients.
- Able to review and analyze patient estimates for explanation to patient or to catch any errors produced.
- Considers the age of the patients served, applies knowledge of growth and development and age specific techniques through the life span (neonates/infants, pediatrics adolescents, adults, and geriatric patients) in planning and implementing care.

WORKING CONDITIONS, HAZARDS AND PHYSICAL EFFORT:
Small work station area with above average levels of noise. Moderate stress level. Minimal physical exertion required. Must be able to work with interruptions. The task of this job does involve a medium exposure to blood, body fluids, or tissue. Exposure to odors, sights and sounds that may be unpleasant. Must be able to move or position 25 lbs. independently. Will work a varied schedule including nights and weekends. Overtime may occur on a rare occasion.
CONTACTS WITH OTHERS:
Has contact with patients, visitors, Associates, physicians and physicians’ staff. Must be able to use professionalism and diplomacy in dealing with individuals when explaining processes, procedures, and clarifying information.
EQUIPMENT USED/SPECIAL SKILLS REQUIRED:
Data entry and calculator skills required. Excellent communication skills a must. Uses personal terminals, copy machine and computer printers.
Qualifications
2 years previous related Registration experience with knowledge of Medical Terminology preferred.
