Patient Engagement Operations Coordinator

We are looking for a Patient Engagement Operations Coordinator who is organised, collaborative and patient-focused to join our Global Patient Engagement and Advocacy team, based in our Brussels office in Belgium.

About the role

You will coordinate the practical delivery of global patient engagement activities from request to completion. You will help manage contracts, consent, payments, meetings and project follow-up, while ensuring activities move efficiently through the right legal, ethical, financial and medical reviews. You will also support projects that improve how the team works and help ensure every activity is organised with patients’ needs in mind.

Who you’ll work with

You will be working in a global team that partners directly with patients and patient organisations. You will collaborate with colleagues in Legal, Compliance, Finance and Medical Affairs, as well as external vendors and agencies. Together, you will help deliver patient engagement activities in a consistent, respectful and well-organised way across different countries and cultures.

What you’ll do

• Coordinate contracts, consent and payments for patients, patient organizations, vendors, and other partners.
• Organize meetings, workshops and patient advisory boards, including logistics, agendas, documentation, and follow-up.
• Track project plans, actions, timelines, and risks, and keep stakeholders informed of progress.
• Guide the activity owners with activity requests through internal legal, compliance, finance and medical review processes.
• Maintain team collaboration spaces, records and materials, so information remains accurate and accessible.
• Help improve processes, tools and ways of working across patient engagement activities.
• Also, help coordinate and guide other tear members.

Interested? For this role we’re looking for the following education, experience and skills

• Bachelor’s degree or equivalent practical experience in business, life sciences, healthcare or a related field.
• At least two years’ experience in project coordination, medical operations, executive support or a related role, ideally in life sciences.
• Experience coordinating work across international and cross-functional teams with multiple deadlines and complex deliverables.
• Understanding of contracts, payments, documentation and compliance processes in a regulated environment.
• Strong organisation, communication and follow-up skills, with the confidence to work with varied internal and external partners.
• A strong sense of ownership and accountability, with the ability to manage processes end to end and ensure commitments are followed through.
• A proactive and solution-oriented approach, anticipating needs, identifying risks early and taking initiative to keep work moving.
• A respectful, inclusive and patient-focused approach, with attention to detail and sound judgement.
