Schedules diagnostic imaging exams into the Electronic Medical Record (EMR) with physician offices and patients. Works closely with department Supervisors to coordinate care for patients. Ensures scheduled exams have appropriate clinical indications and authorization information as needed.
I. Major Responsibilities:
Performs duties related to day-to-day operations of the scheduling department:
1. Interacts with patients, family members, and physician offices to schedule imaging exams in the EMR system.
2. Enters clinical exam details into the EMR system with accuracy.
3. Reviews orders for appropriate information and works with physician offices to obtain additional information as necessary.
4. Reviews and enters prior authorization information into EMR and works with physician offices to obtain additional information as necessary.
5. Files imaging orders, authorizations, and other documentation for clinical use.
Workflow - Prioritizes clerical needs of the department:
1. Maintains awareness of patient call volumes while performing other tasks.
2. Prioritizes wait list by clinical indication and time order received.
3. Utilizes low volume call time to make outgoing calls to patients and perform ancillary tasks such as pending, printing, and faxing of orders.
Provides excellent service to all external and internal customers:
1. Answers telephone by introducing self and department.
2. Ensures all communication with patients and staff is respectful and professional.
3. Responds to all requests in a timely manner.
II. Position Qualifications:
License/Certification/Education:
1. Required: High School Diploma or equivalent education.
2. Preferred: None specified.
Experience/Skills:
1. Required: None explicitly required.
2. Preferred: 3–5 years of previous customer service experience in a healthcare setting.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
