Job Description:

Role Summary:

Responsible for managing both inbound and outbound communication by providing the highest quality of customer service. The role requires attention to detail and a solid understanding of the medical insurance and billing procedures. This includes listening to patient concerns and following up to resolution, explaining account financial liabilities, collection of payment or assisting in setting up payment plans. This role focuses on assisting with RCM self-pay functions such as providing patients with good faith estimates and sending charges to Department of Human Services for patients with a Medicaid Spenddown.

This is a part-time position, with the hours of M-TH 9:00 am–2:30 pm; F 10:00 am– 2:30 pm. This position is hybrid, with a minimum of one day in office per week.

Responsibilities:

  • Manages incoming calls timely to resolution while providing professional and confidential assistance to patient regarding their personal responsibility, payment plans, and account inquiries.
  • Verifies and updates patient demographic, insurance and financial information into the billing and payment systems to ensure accurate billing.
  • Receives all departmental incoming patient emails and follows up or routes to appropriate team members for follow up.
  • Receives and routes all incoming departmental faxes to appropriate team member.
  • Sorts departmental mail and follows up as needed or routes to appropriate team member.
  • Provides accurate good faith cost estimates to self-pay patients prior to appointments.
  • Reviews Medicaid spenddown charges and submits charges to Department of Health and Human Service Caseworker monthly.
  • Post incoming credit card payments to patient accounts.
  • Act as a liaison between patients, Revenue Cycle Management and practice departments to resolve issues and ensure a positive patient experience.
  • Maintains strict patient confidentiality in compliance with HIPAA and other regulations.
  • Additional responsibilities may be assigned to help drive our mission of improving the lives of everyone living with cancer.

Required Qualifications:

  • Minimum of 3 years’ experience in medical office required
  • Knowledge of insurance benefits, authorization process and contracting are also required.
  • Must be able to work independently, possess strong organizational and communication skills and to adhere to established goals and deadlines.
  • High School Diploma/GED

Essential Competencies:

  • Attendance is an essential job function.
  • Excellent communication and interpersonal skills, with a focus on empathy and compassion for patients.
  • Manages incoming calls to the department by answering the phone within 2 rings professional and courteously.
  • Experience with electronic health records (EHR) and practice management systems is necessary. Strong computer skills, including proficiency with Microsoft Office, are often required.
  • Strong analytical and problem-solving skills are needed to research and resolve billing issues efficiently.
  • Ability to work in a confidential and professional manner, managing sensitive patient information.
  • ICD-9/10 and CPT coding a plus.
  • Medicare, Medicaid and private -payer practices and regulations.
