Job Description

The Patient Access Services Representative (PASR) serves as a front-line Revenue Cycle team member at WHMC. Under general supervision, this position is responsible for the efficient and accurate scheduling, pre-registration, registration, admission, and financial clearance of patients receiving Radiology and other clinical services. The PASR plays a critical role in facilitating patient access to care while ensuring the collection and verification of demographic, insurance, authorization, and financial information necessary for reimbursement and revenue cycle integrity. The incumbent provides exceptional customer service to patients, families, physicians, and staff while maintaining compliance with hospital policies, regulatory requirements, and patient confidentiality standards.

  • Register, pre-register, schedule, and admit patients accurately and efficiently in accordance with departmental policies and procedures.
  • Obtain and verify demographic, insurance, and financial information for inpatient, outpatient, ambulatory, emergency, and recurring visit encounters.
  • Interview patients and/or patient representatives in person, by telephone, or at bedside to collect required information while maintaining confidentiality.
  • Schedule procedures and appointments while ensuring all required documentation is obtained and completed.
  • Obtain required patient signatures for treatment authorization, assignment of benefits, release of information, and other regulatory documents.
  • Verify insurance eligibility, benefits, referrals, authorizations, notifications, and pre-certifications through electronic verification systems, payer websites, telephone, and fax.
  • Accurately document insurance plans, subscriber information, policy numbers, group information, authorizations, and verification outcomes within the electronic medical record and registration systems.
  • Identify available insurance coverage for accounts initially registered as self-pay through all available verification resources.
  • Educate patients regarding financial responsibilities, including co-payments, deductibles, deposits, and payment options.
  • Refer uninsured or underinsured patients to applicable financial assistance programs, Medicaid resources, and financial counseling services.
  • Deliver exceptional customer service while maintaining professionalism, compassion, and sensitivity to cultural and linguistic diversity.
  • Respond courteously and promptly to patient inquiries, telephone calls, and requests for information.
  • Maintain positive working relationships with physicians, nursing staff, patients, families, and other hospital personnel.
  • Demonstrate professionalism and initiative when resolving registration, scheduling, or financial concerns.
  • Maintain accurate and complete patient records and registration documentation.
  • Ensure compliance with HIPAA, regulatory requirements, hospital policies, and patient confidentiality standards.
  • Record advanced directives and ensure appropriate documentation and filing when applicable.
  • Document all registration activities, insurance verification efforts, authorizations, and financial counseling interventions.
  • Utilize bed tracking, census management, scheduling, and registration systems as required.
  • Assist with patient transfers, admissions, discharges, and room assignments as applicable.
  • Support departmental initiatives designed to improve patient throughput, operational efficiency, and revenue cycle performance.
  • Participate in departmental training, process improvement initiatives, and quality assurance activities.
  • Perform other duties and special projects as assigned.

Position Requirements:

  • The position requires High School Diploma or GED and a minimum of one (1) year of experience.
  • One (1) year experience in hospital registration, patient access, medical office operations, revenue cycle, healthcare billing, or a related healthcare setting.
  • Previous Radiology scheduling or registration experience preferred.
  • Experience with electronic medical records (EMR) and patient registration systems preferred.
  • Minimum typing speed of 40 words per minute.
  • Strong computer proficiency and data entry skills.
  • Ability to effectively multitask in a fast-paced healthcare environment.
  • Demonstrated ability to prioritize and reprioritize tasks based on departmental needs.
  • Ability to work independently and collaboratively within a team environment.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Professional demeanor with outstanding customer service abilities.
  • Reliable, accountable, and punctual with a strong attendance record.
  • Knowledge of medical insurance plans, including Medicare, Medicaid, Commercial Insurance, HMO, PPO, Workers' Compensation, No-Fault, and Liability insurance.
  • Understanding of insurance verification, authorization, and referral processes.
  • Knowledge of medical terminology preferred.
  • Ability to manage sensitive and confidential information.

Preferred Qualifications

  • Associate degree in Healthcare Administration, Business Administration, or related field.
  • Knowledge of medical terminology, CPT, ICD coding concepts, and payer authorization requirements.
  • Experience in a hospital-based Radiology department.
  • Bilingual skills are highly desirable.
