Patient Access Representative (Orthotics & Prosthetics)

Greets and checks in patients as they arrive, including scheduled patients, drop-ins, and walk-ins, and assures they are matched with their appropriate care provider and does this with a warm friendly, professional, and expedient manner.
Depending on which chair they are working may check in patients to department or make return appointments.
Arrives at their appointed time to begin their workday (O&P is 7:30am to 5pm depending on the shift)
Manage the drop-in list and referrals from the various clinics to assure appointments are matched with appropriate provider using both the Epic and OPIE system.
Make sure that the department is ready to receive patients early in the morning by opening all doors, turning on lights, having all work sheets ready for the day and putting out any mail for the volunteers to pick up.
Communicate any calls or orders from the OR to the appropriate provider.
Enter patient appointments in Epic and make sure they transfer to OPIE watching for accuracy. This includes filling out the C&S forms and the DAR printed list for accuracy.
Answer phone calls, schedule, and reschedule appointments as needed in a professional and expedient manner and triage where to send calls when needed.
Consistently monitor the OPIE WIP for accuracy, assure orders are scanned in, patient diagnosis updated, and the RX summary is correct.
Review the Epic order work queue to assure orders have been attached or deleted correctly and expeditiously.
Upon completion of their shift, determine that all duties are completed and if any are not, they communicate with other staff to get assistance with completion.
At the end of day make sure all exam rooms are empty (no patients), close the overhead door and make sure no PHI is left out in open.
If closing department for the day this person will reconcile EOD sheets daily and monthly in a consistent and accurate manner.
If trained in charge entry, this person will enter O&P charges into the Epic system in an accurate and expeditious manner. Coordinates the charge entry with the billing coordinator in O&P.
Contact no-show appointments or cancelled appointments as needed throughout the day.
Performs other duties as assigned by their supervisor.
High School degree or equivalent required
Experience in office related position with patient contact.
Ability to communicate with public clearly and have some medical terminology experience.
Must have computer skills (MS Word, Excel)
Excellent organizational skills, time management and communication skills to perform the duties.
