The UW Medicine Office of Healthcare Equity has an outstanding opportunity for a Pathways & Student Programs Specialist to join their team.

About this Opportunity

Reporting to the Assistant Director, Equity and Access in Health Sciences Education, the Pathways & Student Programs Specialist is responsible for advancing student pathway programs and non-clinical electives that support healthcare equity across the WWAMI region (Washington, Wyoming, Alaska, Montana, and Idaho). This role provides day-to-day operational support for key medical student initiatives including the Black Health Justice Pathway, Indian Health Pathway, Latinx Health Pathway, LGBTQI+ Health Pathway, Asian, Native Hawaiian and Pacific Islander Pathway, Sexual and Reproductive Health Pathway, and the Community-Focused Urban Scholars Program (CUSP).

This highly collaborative role blends program operations, student engagement, educational technology, event coordination, and continuous improvement to create an exceptional learner experience.

Key Responsibilities

Pathway Programs & CUSP Cohort Management - 35%

• Manage and monitor medical student progress across all pathway requirements (coursework, RUOP/III scholarly research topics, community service, and clinical clerkships) from MS1 through MS4 completion ensuring compliance and success.
• Facilitate administrative processes for 4th-year clinical clerkships in collaboration with Faculty Directors, entering course indicators and rotation schedules in eValue.
• Oversee the annual Medical Student Performance Evaluation (MSPE) / Dean's Letter audit timelines, verifying completion records by established summer/autumn deadlines.
• Support admissions and annual recruitment pipelines (AAMC Virtual Fairs, Second Look sessions, information nights, student orientations, open houses, and application intake).
• Organize student conference travel logistics and funding allocations through central travel systems.

Course Operations - 35%

• Administer Canvas course sites, course materials, assignments, permissions, and quarterly setup activities.
• Provide classroom and educational technology support for hybrid and in-person learning experiences.
• Manage course closeout activities, grading coordination, evaluations, and teaching assistant onboarding.
• Oversee Teaching Assistant (TA) application intake, scheduling, and quarterly onboarding.

Event Management, Documentation, and Operational Excellence - 15%

• Organize major annual and quarterly events, including the Blanket Ceremony, All Pathways Graduation Ceremony, and cohort orientation sessions including the management of catering, room bookings, run sheets, program flyers, certificates, and day-of AV logistics.
• Develop and maintain Standard Operating Procedures (SOPs), process documentation, SharePoint resources, and operational tools while ensuring accessibility standards are met.
• Process operational purchasing, supplies orders, and expense reimbursements maintaining compliance.

Impact and Evaluation Reporting - 15%

• Maintain student tracking and program evaluation systems and deliver insights that support continuous program improvement.

Required Qualifications

Minimum Qualifications

• Bachelor's degree in Education, Public Health, Communications, Social Sciences, Business, or a related field.
• Two (2) years of experience in program coordination, academic administration, student services, or educational operations.

Additional Qualifications

• Demonstrated proficiency with virtual collaboration and presentation tools (Zoom, Microsoft Teams, Office 365) and ability to learn administrative platforms (Canvas LMS, eValue, Kuali).
• Demonstrated ability to author clear, step-by-step documentation, checklists, or Standard Operating Procedures (SOPs).
• Strong organizational skills with proven ability to track multi-phase deliverables and meet deadlines with high attention to detail.
• Demonstrated commitment to equity, diversity, and inclusion for all and experience applying accessibility standards to administrative deliverables.

Preferred Qualifications

• Prior experience administering Canvas LMS or student database systems (eValue) in a higher education or academic medical center setting.
• Familiarity with UW administrative structures, Time Schedule/Kuali systems, or the Health Sciences Building environment.
• Experience supporting health profession students, medical trainees, or diversity pathway initiatives.

Working Conditions

• Ability to work on-site for hybrid classroom sessions/events and accommodate scheduled evening and occasional weekend hours.
