Job Description
Malin is seeking a motivated, customer-focused, and detail-oriented Parts Operations Coordinator for its Fort Worth operation. This hybrid position divides time approximately equally between parts correspondence and shipping and receiving, supporting customers, service technicians, Parts Sales Representatives, and internal teams.
Essential Duties and Responsibilities
Parts Correspondent Responsibilities (50%)
- Prepare and manage customer parts quotations.
- Support service technicians with parts identification, availability, and order fulfillment.
- Process customer and internal parts orders.
- Monitor backorders and communicate status updates.
- Research and source parts through manufacturer and supplier resources.
- Coordinate and process core returns.
- Provide professional customer support by phone and email.
- Maintain accurate records in company systems.
- Support Parts Sales Representatives.
- Provide vacation and absence coverage for parts personnel.
Shipping & Receiving Responsibilities (50%)
- Receive and inspect inbound shipments.
- Verify packing slips, purchase orders, and shipping documentation.
- Process inventory receipts in company systems.
- Put away and organize inventory.
- Pick and stage customer, service, and internal orders.
- Package outbound shipments and create shipping labels.
- Coordinate freight shipments and process freight claims.
- Perform cycle counts and support inventory audits.
- Maintain warehouse organization and 5S standards.
Cross-Functional Support
- Provide front counter coverage when needed.
- Assist with inventory audits and continuous improvement activities.
- Support Parts Sales Representatives and branch personnel.
- Cross-train across parts and warehouse functions to maintain workflow continuity.
Required Qualifications
- Minimum of two years of related parts, warehouse, shipping and receiving, or customer service experience.
- Strong customer service and communication skills.
- Computer proficiency and ability to learn inventory and business systems.
- Strong organization, attention to detail, and problem-solving skills.
- Forklift operating experience.
- High school diploma or GED equivalent.
- Ability to lift and move materials weighing up to 50 pounds.
Preferred Qualifications
- Material handling, forklift, industrial equipment, or heavy equipment industry experience.
- Raymond equipment or parts knowledge.
- Experience with ERP, inventory management, or warehouse management systems.
- Knowledge of inventory control, shipping procedures, and freight management.
Physical and Work Requirements
- Stand and walk for extended periods.
- Bend, squat, kneel, reach, and climb as required.
- Safely operate forklifts and material handling equipment.
Work effectively in both office and warehouse environments
