The Parts and Inventory Clerk is responsible for managing the inventory of spare parts and materials for the Richmond manufacturing facility. This position ensures that all necessary components are available for maintenance and production teams to minimize downtime and maintain operational efficiency. This person will handle stock control, purchase orders, record keeping, and coordinate with vendors to ensure timely delivery of parts.
Key Responsibilities:
• Inventory Management Maintain accurate records of all spare parts, tools, and supplies; ensure inventory is well-organized, regularly updated, and stored safely.
• Stock Control Monitor stock levels and reorder parts as needed to maintain optimal inventory; track parts usage and adjust minimum/maximum stock levels accordingly.
• Receiving & Inspection Receive, inspect, and record incoming shipments of spare parts to ensure they meet quality standards and are as per order specifications.
• Vendor Coordination Collaborate with vendors to obtain quotes, place orders, and follow up on deliveries.
• Issuing Parts Distribute and document spare parts to maintenance and production teams as requested, ensuring accurate records are kept.
• Documentation Maintain detailed records of all transactions, including purchase orders, receipts, and part usage for auditing and inventory purposes.
• Reporting Generate regular reports on inventory status, part usage trends, and any issues or discrepancies.
• Health & Safety Follow company safety procedures for handling and storing inventory; maintain a clean and organized workspace.
• Support Maintenance Team Assist the maintenance team in locating parts, provide backup assistance in managing urgent repair needs, and participate in annual physical inventory checks.
Qualifications:
• High school diploma or equivalent (required); additional training in inventory management or logistics (preferred).
• 1-2 years of experience in inventory management, warehousing, or a similar role, preferably within a manufacturing environment.
• Familiarity with inventory management software or systems (e.g., SAP, Oracle, or other ERP systems).
• Basic understanding of mechanical and electrical parts used in manufacturing equipment.
• Strong organizational skills with attention to detail and accuracy.
• Good communication skills for liaising with suppliers, colleagues, and other departments.
• Ability to lift and move parts, sometimes weighing up to 50 lbs.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
