The Parts Advisor I is responsible for supporting customer uptime, operational efficiency, and branch profitability through accurate parts support, order management, and customer service execution. This role serves as a key point of contact for customers and internal departments by identifying parts solutions, processing transactions, coordinating order fulfillment, and supporting inventory and operational processes.

The Parts Advisor I contributes to overall branch performance through effective communication, technical learning, inventory awareness, and responsive customer support in a fast-paced operational environment.

WHAT YOU'LL DO

  • Deliver exceptional customer service to internal and external customers by responding promptly to parts inquiries, order requests, and operational needs.
  • Interact with customers to identify parts requirements, provide parts solutions, process orders, communicate availability, and manage order follow-up activities.
  • Support customer uptime by ensuring accurate and timely order processing, fulfillment coordination, and communication throughout the order lifecycle.
  • Maintain a clean, organized, professional, and safety-focused work environment in accordance with company 6S standards.
  • Develop and maintain working knowledge of warehouse operations, inventory flow, parts applications, and operational processes.
  • Utilize DBS, WMS, Caterpillar, WCAT, and related systems to process transactions, research inventory, manage customer orders, and support operational execution.
  • Issue, maintain, and process purchase orders, invoices, credits, and related documentation with a high level of accuracy and attention to detail.
  • Support inventory integrity through stock verification, parts research, order accuracy, and adherence to inventory control procedures.
  • Develop a working understanding of parts accounts, coding structures, pricing, and departmental financial processes.
  • Coordinate and communicate effectively with warehouse personnel, service departments, transportation teams, vendors, and leadership to support workflow continuity and customer satisfaction.
  • Assist with continuous improvement efforts focused on service execution, operational efficiency, and process consistency.
  • Perform additional operational and administrative duties as assigned.

WHAT YOU'LL NEED

  • High school diploma or general education degree (GED) required.
  • 1+ years of customer service, parts operations, warehouse, heavy equipment, automotive, or related industry experience preferred.
  • Ability to work in a fast-paced environment while managing multiple priorities and maintaining accuracy.
  • Working knowledge of inventory systems, order processing systems, and computer applications including DBS, WMS, Caterpillar systems, and Microsoft Office programs preferred.
  • Strong communication, organizational, and customer service skills.
  • Ability to read and interpret parts information, technical documentation, and operational procedures.
  • Basic understanding of inventory control, parts operations, and financial transaction processes.
  • Ability to work independently and collaboratively within a team environment.
  • Basic mathematical and problem-solving skills required for pricing, quantities, and transaction accuracy.
  • Ability to pass WorkSteps testing requirements for the position.
  • Ability to work overtime, weekends, holidays, or extended hours based on operational needs.
  • Valid driver’s license and ability to meet and maintain company driving requirements if operating company vehicles.
  • Ability to obtain and maintain forklift certification.
