Parts Administrator, Kansas City, MO

Pay: Pay based on an individual’s skills, certifications, education, and years of experience.

Hours of Work: 8:00 a.m. – 4:30 p.m.; Monday through Friday

That's why we're looking for a highly organized, detail-oriented Parts Administrator to join our team and play a vital role in supporting our parts and inventory operations.

This is more than an administrative position—it's an opportunity to make a direct impact on our business by helping ensure our technicians, customers, and locations have the parts they need to keep trucks moving and downtime to a minimum.

What You'll Do

  • Process parts invoices and verify pricing accuracy.
  • Create and manage purchase orders and ensure proper matching of packing slips and invoices.
  • Monitor and expedite parts orders to support service and customer needs.
  • Submit and track OEM claims for damaged, missing, or incorrectly shipped parts.
  • Process vendor rebate claims and maintain supporting documentation.
  • Collaborate with management and parts personnel to maintain accurate inventory levels across multiple locations.
  • Coordinate parts transfers between Nextran locations.
  • Maintain accurate inventory records and support efficient parts department operations.
  • Communicate effectively with vendors, drivers, technicians, and internal departments to ensure timely parts availability.

What You Bring

  • Strong organizational skills and exceptional attention to detail.
  • The ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • Excellent communication and customer service skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency with Microsoft Office and computerized inventory systems.
  • Experience in a parts department, inventory control, trucking, automotive, heavy-duty equipment, or dealership environment is preferred.
