Job Description

Established in the Blue Ridge foothills of North Carolina in 1963, Leonard Truck Outfitters is a manufacturer and distributor whose product lines include storage buildings, cargo and utility trainers, truck covers, truck and van accessories, carports, playhouses, chicken coops, and dog houses. We serve our residential, commercial, fleet, and government customers through our 150+ retail store locations in eighteen states, supported by our corporate offices (in Mount Airy, NC, and Cobden, IL), distribution centers, and strategically located manufacturing facilities.

The part-time Fleet Administrator position is located at Mt. Airy distribution center location, with operations in the U.S. and has overall responsibility for ensuring comprehensive management of all fleet-related administrative responsibilities, including regulatory compliance, oversize permits, vehicle inspections, and general fleet documentation. The Fleet Administrator will play a key part in maintaining smooth operations and keeping the fleet in good standing with all necessary regulations. This position reports directly to the Fleet manager and has 0 direct reports.

Pay: $18-$20

This role is remote with a flexible schedule.

Job Duties and Responsibilities:

  • Fleet Documentation & Registrations:
    • Manage and maintain all fleet-related documentation, including vehicle registrations, titles, and compliance records.
    • Coordinate and complete necessary paperwork for vehicle registration renewals, including trips to the DMV.
    • Ensure all vehicles in the fleet are properly documented and meet state and federal regulatory requirements.
  • Telematics Software Maintenance:
    • Oversee the operation and maintenance of fleet telematics systems, ensuring accurate data tracking and reporting.
    • Regularly update and troubleshoot telematics software to ensure smooth functionality and integration with fleet operations.
  • Fuel Program Management:
    • Administer and monitor the company's fuel management program, ensuring accuracy and compliance.
    • Track fuel usage, fuel reports, and analyze fuel efficiency trends for cost-saving opportunities.
    • Work with vendors and stakeholders to resolve any fuel-related issues.
  • Maintenance Software Oversight:
    • Manage and maintain software used for fleet maintenance scheduling and tracking.
    • Ensure timely service intervals and routine maintenance are logged, tracked, and completed on all vehicles.
    • Communicate with service providers and technicians to coordinate necessary repairs and upkeep.
  • Oversize Permits & Regulatory Compliance:
    • Coordinate the ordering and management of oversize/overweight permits as needed for fleet vehicles.
    • Ensure all required permits are obtained, renewed, and comply with local, state, and federal regulations.
    • Maintain a system for tracking the validity of oversize permits and manage any necessary renewals or adjustments.
  • Inspections & Regulatory Paperwork:
    • Ensure all fleet vehicles are inspected and meet the required safety and regulatory standards.
    • Maintain records of inspections, repairs, and any regulatory paperwork related to vehicle compliance (such as DOT inspections, safety certifications, etc.).
    • Track upcoming inspection dates and schedule inspections in a timely manner to avoid any compliance issues.
  • Data Entry & Reporting:
    • Accurately enter fleet-related data into various systems and databases, ensuring records are up to date and complete.
    • Generate and review reports related to fleet performance, fuel usage, maintenance schedules, compliance, and regulatory adherence.
    • Provide regular updates and reports to management regarding fleet status, key performance indicators, and any potential issues.
  • General Administrative Support:
    • Provide administrative support for fleet-related activities and other general office duties as required.
    • Assist in organizing meetings, scheduling appointments, and maintaining filing systems for fleet-related documentation.
    • Handle any incoming inquiries related to fleet management, providing timely and accurate responses.

Skills & Qualifications:

  • Strong organizational and time-management skills.
  • Attention to detail and accuracy in data entry.
  • Familiarity with fleet management software and telematics systems.
  • Understanding of oversize/overweight permits and vehicle inspection requirements.
  • Ability to manage multiple tasks and projects simultaneously.
  • Proficient in Microsoft Office Suite (Excel, Word, etc.).
  • Excellent communication skills, both written and verbal.

Education/Experience Requirements

  • High school diploma or equivalent preferred.
  • No prior experience required; on-the-job training will be provided.
