Department & Role Details

Reports to: Annual Giving Manager

Schedule: Tuesday, Wednesday, and Thursday (In-Office)

As a member of the Annual Giving Team, the Donation Processing Assistant provides essential support to the Donation Processing Coordinator and the broader Annual Giving team. This role assists with accurate gift processing, donor account maintenance, and donor outreach, while serving as a reliable backup to the Donation Processing Coordinator during periods of high volume or absence. This role reports directly to the Annual Giving Manager and works alongside the Donation Processing Coordinator.
Essential Duties
•Assist with processing singular, automatic, and recurring donations received via check, credit card, ACH, PayPal, wire transfer, and other avenues via phone, mail, and online.
•Support accurate coding of donations for entry into the donor database and assist with coordinating donor receipts.
•Serve as a backup to the Donation Processing Coordinator, stepping in to ensure continuity of gift processing and donor communications during high-volume periods or absences.
•Assist with monitoring and updating donor account information in an accurate and timely manner.
•Support outreach efforts to donors under the direction of the Annual Giving Manager.
•Assist with student project coordination and donor-facing materials as needed during project seasons.
•Assist with safeguarding student materials, including reviewing and processing student artwork and project submissions in accordance with KAI safeguarding policies.
•Track memorial gifts and forward prayer requests as directed.
•Provide general administrative support to the Annual Giving team on special projects, campaigns, and initiatives throughout the year.
•Actively communicate and collaborate with the Annual Giving team to ensure smooth daily operations.
•Organize and maintain donor files in accordance with the file retention policy.
•Other duties as assigned by the Annual Giving Manager.

Education & Experience Requirements
•High School Diploma required, associate degree preferred.
•1+ years of data entry or administrative experience preferred.
•1+ years of customer service experience preferred.
Skills & Knowledge Required
•Proficiency with donor database systems or ability to learn.
•Proficiency with Microsoft Office and other business collaboration tools.
•Strong customer service skills in active listening and clear communication for telephone and written contact with donors.
•High interpersonal awareness and emotional intelligence.
•High degree of accuracy and organization.
•Willingness and ability to maintain confidentiality.
•Fluency in English reading, writing, speaking, and listening.
•Excellent ability to multitask and adapt in a fast-paced environment.
•Willingness to pray with donors, colleagues, and in staff meetings.

•Remain in a stationary position for extended periods of time and be able to move about inside the office to access file cabinets, office machinery, etc.
•Operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer; must be able to use hands to handle, control, or feel objects or controls and reach with hands and arms.
•Constantly communicate and exchange correct information with team members and donors effectively.
•Read and comprehend, write, communicate orally, reasoning, analytical abilities, and mental flexibility.
•Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
•Hearing ability to perceive the nature of sounds at normal speaking level with or without correction.
Regular Work Environment
•While performing the duties of this job, the employee will be regularly working in a typical interior/office work environment.
•The noise level in the work environment is usually moderate.
•This role may on rare occasions be required to work overtime or outside of normal working hours.
