Smeal Undergraduate Education is seeking a Customer Service Representative to support large-enrollment testing and makeup exam services at Penn State University Park. This position will assist with the coordination, communication, scheduling, and daily operations needed to provide secure and reliable exam support for faculty and students.
The successful candidate will serve as a key point of contact for faculty, students, staff, and other stakeholders; help coordinate exam logistics; support room and proctoring arrangements; maintain accurate records; and contribute to efficient, student-centered testing operations. This role requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced academic environment.
Key Responsibilities
Serve as a primary contact for faculty, students, and staff regarding large-enrollment testing and makeup exam services.
Coordinate exam scheduling, room assignments, proctoring support, and related logistics.
Coordinate with the Center for Business Ethics and Responsibility to ensure that Smeal’s culture of honor and integrity is integrated into the SMTU and make-up exam processes, as well as into the ongoing training and engagement of proctors.
Communicate testing procedures, timelines, and requirements clearly to faculty, students, and campus partners.
Support secure exam administration processes and help ensure compliance with established testing procedures.
Maintain accurate records related to exam requests, schedules, attendance, usage, and service activity.
Assist with daily operational needs, including preparing testing spaces, supporting check-in processes, and troubleshooting routine issues.
Provide timely customer service and follow-up to resolve questions or concerns.
Support continuous improvement of testing processes, documentation, and service delivery.
Candidates should possess the following skills and experience:
Relevant customer service, administrative support, academic support, or operations experience.
Strong communication, interpersonal, and problem-solving skills.
Demonstrated ability to organize work, manage competing priorities, and maintain accuracy.
Ability to work professionally with faculty, students, staff, and campus partners.
Attention to detail and commitment to maintaining confidentiality and exam security.
Proficiency with standard office technology, including email, spreadsheets, databases, scheduling tools, and related systems.
Experience working in higher education, academic services, testing services, or student support operations.
Experience coordinating schedules, events, rooms, or other logistical operations.
Familiarity with exam administration, proctoring procedures, or academic integrity practices.
Experience maintaining records, preparing reports, and using data to support service operations.
Ability to work effectively in a high-volume, deadline-driven environment.
