The Opportunity:

The STEM Translational Communication Center (STCC) within the College of Journalism and Communications is seeking a highly organized, customer service-oriented Part-Time Administrative Coordinator (20 hours weekly) to provide administrative and operational support. This position plays an important role in ensuring the efficient day-to-day functioning of the center while serving as a welcoming point of contact for faculty, external partners, staff, and students.

Key Responsibilities:

  • Provide office reception and visitor support.
  • Answer and direct phone calls, emails, and visitor inquiries.
  • Assist with scheduling meetings, appointments, travel, and events.
  • Maintain meeting notes, project databases, and other office records.
  • Assist with preparing correspondence, newsletters, reports, and presentations.
  • Process and track purchasing, invoices, and other administrative documentation.
  • Coordinate office supplies and maintain inventory.
  • Assist with event logistics, registration, and attendee communication.
  • Support special projects and center initiatives as assigned.
  • Maintain confidentiality when handling sensitive information.
  • One year of office, administrative, or customer service experience.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency with Microsoft 365 Suite (Word, Excel, Outlook, PowerPoint, Teams).
  • Ability to work independently and collaboratively in a fast-paced environment.

Work Schedule:

  • Part-Time (0.50 FTE)
  • 20 hours per week
  • Flexible schedule based on operational needs

Expected Salary:

Required Qualifications

High school diploma or equivalent.

Preferred Qualifications

  • Experience working in higher education or a university environment.
  • Experience with UF administrative systems.
  • Demonstrated attention to detail and ability to manage multiple priorities.
  • Experience supporting events, programs, or student services.
  • Excellent note-taking and organizational skills.
  • Strong professional communication skills, with a customer service mindset.
  • Proficiency in technology and office equipment and ability to learn new tools.
  • Ability to exercise sound judgment and maintain confidentiality.
  • Commitment to creating a welcoming and inclusive environment.
