
At St. Mark Church, we owe our success to our people and our processes. We are seeking a part‑time administrative assistant whose strengths include managing day‑to‑day administrative tasks with attention to detail and discretion, as well as providing support to the staff and pastor of St. Mark. Candidates for this position must have excellent interpersonal skills and a willingness to serve. Proficiency in Microsoft Office, along with experience in database management and record‑keeping, are essential for success.
The ideal candidate will be a problem‑solver with strong communication skills and impeccable attention to detail. The candidate should also have experience working in an office environment, performing administrative tasks, managing calendars, and providing support to managers and employees. The ability to multitask, manage complex schedules, and meet changing deadlines is essential to this role.
Essential Functions
Assist the Pastor with Liturgy and Worship
Ensures operational preparation for the celebration of the liturgy, including intercessions, announcements, calendars, programs, and scheduling liturgical ministers and sacristans.
Assists the pastor in preparing and coordinating the clergy schedule.
Prepares Mass cards and enters information into the Mass Intention calendar.
Assists the pastor with letters and correspondence.
Performs other administrative tasks as needed.
Assist the Director of Evangelization
Ensures complete preparation for faith formation programs for children and adults.
Ensures that all sacramental paperwork is completed thoroughly and accurately as required.
Assist the Director of Youth Ministry and the Director of Outreach
Supports the seamless operation of their programs.
Assist with Parish Operations
Provides effective, efficient support to the Parish Office, including directing calls, greeting visitors, receiving and distributing mail and deliveries, preparing mailings, ordering supplies, producing the weekly bulletin, and sending thank‑you and acknowledgment letters.
Inputs, updates, and maintains parish records in Ministry Platform (the Archdiocese’s database software).
Other duties as assigned.
Position Qualifications
High school diploma or equivalent; associate or bachelor’s degree preferred.
Excellent written and verbal communication skills.
Excellent organizational and multitasking skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with database management, calendar management, and record‑keeping.
Ability to handle sensitive information with discretion.
Excellent interpersonal skills and the ability to work well with a diverse group of people.
Ability to collaborate and communicate effectively with clergy, staff, parishioners, and the general public.
Detail‑oriented and able to work independently.
Ability to manage time effectively and prioritize tasks.
Strong critical‑thinking and problem‑solving skills.
Five years of experience in an administrative support role and office coordination is required.
General knowledge of the Catholic Church preferred but not required.
Must model Christian attitudes and behaviors and adhere to the Archdiocesan Code of Conduct.
Work Schedule
The position is 19 hours per week.
