Job Description

Anglers Club is seeking a professional, organized, and customer-focused Part-Time Administrative Assistant to support our luxury residential community. This role is ideal for someone who enjoys working in a fast-paced environment, providing exceptional customer service, and ensuring the smooth operation of our receiving area and resident services.

The Part-Time Administrative Assistant is responsible for overseeing the receiving area and freight elevator scheduling while providing administrative support to residents, contractors, and management. This individual will help maintain a safe, organized, and efficient environment by coordinating deliveries, monitoring contractor access, enforcing Association policies, and delivering outstanding customer service.

Key Responsibilities

  • Maintain security and organization of the receiving area, ensuring it is never left unattended or unlocked.
  • Ensure the receiving area remains clear and accessible at all times.
  • Coordinate and schedule freight elevator reservations for resident move-ins and move-outs in accordance with Association policies.
  • Receive, register, and document all deliveries, including FedEx, UPS, DHL, registered mail, and other packages.
  • Verify contractor licenses, insurance certificates, and required permits through the management office before granting access.
  • Issue parking passes for approved vehicles and identification badges for contractors.
  • Monitor contractor activity and maintain accurate access and service logs.
  • Enforce Association rules, regulations, and parking policies.
  • Complete daily logs, reports, and other required administrative documentation.
  • Report maintenance, safety, or operational concerns to management promptly.
  • Maintain a clean, organized, and safe work environment.
  • Perform additional administrative and operational duties as assigned.

Qualifications

Qualifications

  • High school diploma or equivalent required.
  • Previous administrative, receiving, front desk, or customer service experience preferred.
  • Experience working in a residential community, hospitality, or property management environment is a plus.
  • Excellent customer service and interpersonal skills.
  • Strong verbal and written communication skills.
  • Ability to multitask and remain organized in a fast-paced environment.
  • Basic computer proficiency, including Microsoft Office and email.
  • Bilingual or multilingual communication skills are highly desirable.
