Position Summary

Electra Link is seeking a dependable and detail-oriented Part-Time Accounts Payable Assistant to support our Accounting team.

This position is responsible for processing vendor invoices and employee expenses, reconciling account activity, maintaining accurate records, and helping the department meet recurring payment and reporting deadlines.

Essential Responsibilities

  • Process vendor invoices accurately and promptly, including reviewing supporting documentation and routing invoices for approval.
  • Process employee expense reimbursements and per diem payments in accordance with company policies.
  • Reconcile vendor statements and research missing invoices, unapplied credits, duplicate charges, and other discrepancies.
  • Reconcile and validate corporate credit card expenses, receipts, coding, and supporting documentation.
  • Communicate professionally with vendors, employees, managers, and Accounting team members to obtain missing information and resolve routine issues.
  • Maintain organized electronic accounts payable records.
  • Protect confidential company, vendor, and employee information.
  • Assist with data entry, reporting, filing, and other Accounting or administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Coursework in accounting, bookkeeping, or business administration preferred.
  • Previous accounts payable, bookkeeping, accounting support, or high-volume administrative experience preferred.
  • Accurate and efficient data-entry and document-processing skills.
  • Strong attention to detail.
  • Ability to organize and prioritize work, follow established procedures, and meet deadlines.
  • Professional written and verbal communication skills.
  • Working knowledge of Microsoft Excel, including data entry, sorting, filtering, and basic formulas.
  • Comfortable learning accounting, expense-management, and internal business systems.
  • Flexible, adaptable, and willing to support a variety of Accounting department needs.

Schedule and Work Location

  • This is a part-time, hourly position.
  • The position is 100% on-site at Electra Link’s Spring office.
  • Remote work is not available.
  • The specific work schedule and anticipated weekly hours will be established based on department needs and candidate availability.

What Success Looks Like

  • Vendor invoices, employee expenses, per diems, statements, and corporate credit card activity are processed accurately and on time.
  • Missing documentation and discrepancies are identified, communicated, and resolved promptly.
  • Accounts payable records are complete, organized, and ready for review.
  • The Accounting team receives dependable support during routine and high-volume periods.
