Job Description

JOB PURPOSE: Assists the Chief Compliance Officer and corporate leadership in the areas of Corporate Compliance and Risk Management. Collaboratively works to meet deadlines and manage competing priorities. Provides professional, confidential support for risk assessments, investigations and litigation. Responsible for recordkeeping and reports.

JOB FUNCTIONS:

  • Perform specifically delegated work in support of Compliance, regulatory, business and legal functions.
  • Effectively manages, organizes, analyzes, and summarizes status updates on assigned deliverables and projects.
  • Monitor compliance with contractual requirements. Provide administrative support for the contract management processes.
  • Monitor and perform legal research on applicable facets of law and administrative regulation and prepare summaries thereof.
  • Maintain matter files, administrative files, meeting files, chronologic files, contracts, insurance policies, and other corporate legal and compliance records.
  • Coordinates the corporate Insurance renewal process.
  • Assist with official correspondence relating to employment, benefit, labor, compliance, and corporate secretarial matters.
  • Support the review and approval of legal invoices by company leadership and insurance companies.
  • Assist with developing, receiving, and tracking sensitive internal documents and records in support of Compliance and Risk Management functions. Tracks progress and prepares reports.
  • Assist with compliance reviews and audits. Support confidential response and recordkeeping for incidents and complaints reports. Prepare reports, filings, memos and other records. Tracks and maintains related work products.
  • Reviews, updates, and maintains policies and procedures related to loss prevention, handling of incidents or complaints, evaluating risk and liability, tender of defense, managing case files, and supporting discovery efforts.
  • Support coordination of meetings with outside legal counsel and vendors; prepare documents and maintain minutes. Prepare and track correspondence with outside legal counsel.
  • Support implementation of preservation orders and discovery. Track correspondence and deliverables. Support maintenance of legal files and databases and manage retention and destruction.
  • Assist in data gathering from cross-functional departments and compiling information for compliance or risk management purposes and for special projects.
  • Other duties as assigned.

Requirements

Education:

  • California Paralegal education and work experience requirements completed or equivalent.

Experience:

  • Five (5) years of legal experience in California law practice, civil litigation experience preferred.
  • Legal secretary work experience or equivalent preferred.
  • Knowledge of healthcare terminology and regulations preferred.

PERFORMANCE REQUIREMENTS:

Knowledge:

  • Comfortable with duties required to support legal practices.
  • Possesses solid working knowledge of a variety of legal and administrative subject matters.
  • Uses public and private legal resources effectively.

Skills:

  • Excellent oral and written communication skills. Customer/client orientation.
  • May provide leadership, coaching, and/or mentoring to subordinate group.

Abilities:

  • Performs work under general supervision. Handles moderately complex issues and problems and refers more complex issues to higher-level staff. Able to understand and follow directions.
  • Demonstrated ability to maintain confidentiality.
  • Able to stay on task and manage multiple assignments and deadlines.

Equipment Operated:

  • Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

Work Environment:

  • Position in a well-lit, well-ventilated office environment. Frequent contact with a variety of people.

Physical Requirements:

  • Involves sitting approximately 80 percent of the day, walking or standing the remainder. Some bending, stooping, and lifting up to 25 pounds.
