Job Description

JPC Partners is looking for a Paralegal Administrator that will work with legal support staff and attorneys to provide a broad range of clerical, administrative, workflow, and project management duties to support the company’s Law and Compliance Division.

The responsibilities will include conducting legal and factual research; preparing documents, exhibits, reports and filings; completing filings; activities related to drafting, processing, updating and filing tariff and tariff related agreements; assistance with drafting and processing service agreements and other legal documents; promoting tariff and regulatory compliance; and supporting legal proceedings.

Additional responsibilities will include file management (primarily electronic documents and email management), data entry and database management (Excel and litigation tracking software), report generation, expense and procurement coordination, logistics (meeting planning, Outlook calendar manager, travel arrangements), managing the workflow for particular attorney teams (logging receipt of an assignment, assigning attorney and paralegal support, monitoring progress), management of important public postings for external parties, formatting of pleadings, correspondence, and PowerPoint presentations, and other similar functions.  No two days are necessarily alike, and any one day may require the candidate to perform many of these different functions.

The successful candidate will be meticulous and have a thorough knowledge of legal formalities, computer and technical knowledge as well as strong analytical, communication and organizational skills; and should work well in fast-paced collaborative environments with competing demands.  Prior legal experience preferred.

Essential Duties:
  • Assist in maintaining the filing system for the Law Department.
  • Assist attorneys in the preparation and electronic filing of letters, pleadings, discovery and subpoena responses, motions, and summaries of filings and orders. 
  • Manage service and posting of filed documents.
  • Attend internal meetings as needed.
  • Communicate with internal and external stakeholders.
  • Conduct research and analysis on legal and regulatory matters, prepare memos, reports, summaries, charts and other legal documents as directed.
  • Assist and support attorneys and paralegals in the preparation of filings and other steps in the filing process
  • Provide administrative support as needed to the Department, including(a) demonstrate proficiency in the use of company issued automated tools including In-house Conference Room Reservation System, SAP and Microsoft Office (b) prepare and process invoices, time sheets, expense reports, purchase requisitions, check requests as required; (c) establish, coordinate, and maintain calendars; (d) coordinate and schedule appointments, and meetings including making travel arrangements and reservations; (e) draft, organize and distribute departmental meeting minutes.
  • Legal Document Review and Analysis Duties: (a) support the administration, processing and maintenance of Service Agreements including the tracking of effective and expiration dates, and coordinate with both internal and external stakeholders to maintain overall regulatory compliance; (b) review pro forma documents and agreements for conformity; and (c) prepare and/or support the preparation of draft filings for legal counsel indicating reason for non-conformity, and oversee any service requirements for filing.
  • Independently manage important internal workflows including the timely and accurate public posting of documents to the company website, data entry in the case tracking system, and the logging and tracking and assigning of work to certain attorney and paralegal teams.
  • Possess the ability to work independently and as part of a team
  • Other functions and duties as assigned.
Required Qualifications:
  • 0-5 years of experience as a legal administrative assistant, law clerk or paralegal in a law firm, corporate legal department or governmental agency.
  • Must be local and able to work onsite 1 day per week to complete mailings and other in-office tasks
  • Bachelor’s degree in legal studies / related field (or associate’s degree with at least 2 years of relevant professional legal experience)
  • Experience working in an office or team environment having administrative and workflow management experience
  • Must be comfortable working in a digital environment; strong ability to utilize technology and e-filing tools
  • Organized and able to juggle multiple filings, deadlines and tasks
  • Possesses Excellent verbal and written communication skills
  • Collaborative and works well with a team
  • Paralegal certificate (preferred)
