Position Summary:
Under the direct supervision of the PACE Enrollment Manager, the Enrollment Supervisor is responsible for supervising and assisting with all aspects of planning, development and supervision of the PACE (Program of All-Inclusive Care for the Elderly) enrollment activities to increase enrollment. The Enrollment Supervisor is responsible for supervising and assisting with all initial screenings and for coordination of new participants to the San Diego PACE program. Additionally, this position works closely with the PACE Marketing Manager to implement the program’s intake, enrollment, marketing activities and will assist with the design, development and production of marketing and enrollment material.
Essential Functions of the Job:
• Ensures the Enrollment Specialist team consistently achieves agreed upon monthly enrollment targets and outcomes within schedule.
• Leads, coordinates and supervises the PACE Enrollment team including monitoring and completing employee performance evaluations and disciplinary action (as needed).
• Monitors and ensures quality on all San Diego PACE phone eligibility screenings, initial screenings and assessments in the home of potential participants, education and enrollment assistance activities to determine participant needs and eligibility for enrollment. Reviews appropriate documentation related to participant assessments as required.
• Assists PACE Business Development Leadership with administering and coordinating all marketing and enrollment activities, including coordination with PACE staff and other departments who may come into contact with PACE-eligible participants. Participates in marketing activities in conjunction with and as assigned by the PACE Business Development Leadership
• Assists the PACE Enrollment Manager in developing and maintaining reports to assess and analyze marketing and enrollment activities for the purpose of maximizing enrollment,.
• Collects and maintains key data on Apptivo, QuickCap, EPIC and other dashboards. Generates and submits reports as assigned.
• In conjunction with the Enrollment Manager, assists the PACE Business Development Leadership to develop PACE marketing materials. Provides tours of PACE center to interested family’s, potential participants, community partners, and providers
• Ensures a positive experience for potential enrollees, candidates, and their family members. Provides responsive, high quality service to patients and others who interact with the PACE marketing and enrollment team. Provides accurate, complete and up to date information in a courteous, efficient and timely manner.
• Ensures compliance with all applicable CMS (Centers for Medicare & Medicaid Services) and California Department of Health Care Services (DHCS) and/or Department of Managed Health Care (DMHC) sales and marketing policies, rules, and regulations.
• Assists with developing policies, procedures, and standards for department activities.
• Maintains a safe, secure, and legal work environment and ensures development of personal growth opportunities.
• Communicates job expectations with employees to achieve results. Provides performance supervision through coaching, counseling, and disciplining. Ensures employees have necessary resources to succeed.

Job Requirements:
Education Requirements:
• Required: Bachelor’s Degree in relevant field or relevant experience.
• Preferred: Relevant Bachelor’s degree in Healthcare or Marketing
Experience Requirements:
• Required:
◦ 2 years of experience in marketing, sales, outreach, or as a community liaison.
◦ 2 years supervisory experience in a related setting.
◦ Knowledge of and/or experience with Managed Care Health plans, Medi-Cal/Medicaid, and/or Medicare.
• Preferred:
◦ Experience working in a healthcare organization or agency that supports the geriatric population preferred.
◦ Knowledge of PACE marketing regulations (state and federal). Techniques and methods to organize and supervise a department.
◦ Principles and practices of health care service delivery, managed care, health care systems, and medical administration.
◦ Principles and techniques of effective supervision, including training and evaluation of subordinates.
◦ Systems and procedures to efficiently track and trend all sales activity.
◦ Knowledge and/or experience with the senior care market, including competitors, regulations, and available resources.
Certifications/Licenses:
• CA valid driver’s license and reliable transportation. Proof of current vehicle insurance (if applicable).
• Must take complete the Medi-Cal Marketing Certification training within 60 days of hire.
Technical Knowledge and Skills:
• Must possess the skills necessary to provide effective marketing and enrollment activities.
• Must thrive within a team environment, possess good organizational and supervisory skills, and have the ability to effectively handle difficult and unusual interpersonal situations.
• Meet a standardized set of competencies for the position established by San Diego PACE and approved by CMS.
• Good knowledge of Microsoft Applications including Word, Excel, Access and Power Point.
• Computer data entry, analysis and reporting experience required.
• Knowledge of Electronic Health Data Systems including NextGen and TruChart preferred.

• Personal vehicle, computers, phones, copy machines, fax machines and other general office equipment.
Working Conditions and Physical Requirements:
• Physical clearance for reaching, bending, stooping, crouching, kneeling and grasping; have full range of motion; ability to lift 50 lbs; T.B. clearance; must maintain current First Aid and CPR.
• Busy PACE clinic and adult day center with medium to loud noise levels and controlled office temperatures.
• Frequent standing and walking indoors and outdoors; set-up/take down of marketing displays/ equipment.
• Will be required to travel to other sites or other locations in San Diego County.
• Will be required to work some evenings and/or weekends.
Universal Requirements:
