Location: Hybrid - 3 days per week at DCE (Dnata City East) occasionally VHQ

Hours: 37.5 hours per week, Monday to Friday

Contract: Permanent

As we continue our journey to become the most loved travel company, we’re looking for an organised, proactive and trusted Personal Assistant to support senior leaders across our Cargo Business and Airline Pricing & Revenue Management teams.

Working at the heart of Virgin Atlantic Cargo, you’ll provide high-quality executive support to the Managing Director, Cargo and VP Airline Pricing & Revenue Management. You’ll manage complex diaries, coordinate meetings across time zones, organise travel and events, and ensure both leaders are fully prepared to focus on their priorities.

You’ll also play an important role in supporting Cargo leadership routines, talent management, financial administration, office coordination and wider business processes. This is a varied role requiring sound judgement, discretion and the confidence to work with colleagues, customers, partners and senior stakeholders across Virgin Atlantic and beyond.

The role

  • You’ll manage diaries and priorities, anticipating conflicts and ensuring sufficient time is set aside for preparation, travel and follow-up. You’ll coordinate meetings, agendas, technology, attendees and briefing materials, as well as attend selected leadership meetings to capture decisions and actions.
  • You’ll organise complex UK and international travel, conferences, customer events and external engagements. This may occasionally involve international travel or flexibility outside normal working hours, although this will be infrequent.
  • You’ll provide day-to-day executive office support, including inbox management, correspondence, presentations, confidential documentation, data maintenance, onboarding administration and facilities coordination. You’ll also support talent and succession planning activity, process expenses and purchase orders, coordinate invoice approvals and complete reconciliation checks with Finance and Procurement.
  • Working as part of our wider PA and EA community, you’ll share knowledge, provide cover when needed and build effective relationships across Cargo and the wider airline.

About you

  • You’ll have strong experience in a PA, EA or senior administration role supporting a senior business leader. Experience supporting an executive or leadership team would be advantageous.
  • You’ll be proactive, highly organised and comfortable managing a demanding workload with limited supervision. You’ll be able to prioritise effectively, adapt quickly to changing requirements and use sound judgement when resolving or escalating issues.
  • Accuracy, attention to detail and follow-through will be essential, particularly when handling meeting materials, financial information and sensitive people-related discussions. You’ll also need excellent written and verbal communication skills, strong Microsoft 365 experience and the confidence to work professionally with stakeholders at all levels.
  • Experience coordinating complex travel, meetings and events is important. Experience with expenses, purchase orders, invoices and reconciliation checks would be desirable, as would familiarity with enterprise systems such as Fusion. An interest in aviation, cargo or logistics would be welcomed.
