About Our Position

The Overnight Stockroom Supervisor plays a crucial role in ensuring the efficient and effective daily operations of library support services. This position directly supervises a team responsible for the timely delivery and retrieval of library materials, inventory management, and special project support. The Supervisor will lead, mentor, and develop their team, fostering a collaborative and productive work environment. This role requires strong organizational, communication, and problem-solving skills, coupled with the ability to utilize technology for tracking and reporting. A key aspect of this position involves overseeing the courier services, ensuring the reliable and secure transport of materials between library branches.

What You Would Bring

  • Ability to develop or modify work plans, methods, and procedures to optimize team performance. Determine work priorities and develop work schedules to ensure adequate staff coverage across all service areas, including courier operations. Provide clear work instructions and offer guidance to employees on complex or unique assignments, promoting innovation and continuous improvement.

  • Ability to assign and distribute tasks equitably among team members, taking into account individual skills and workload. Review completed work for accuracy and completeness, providing constructive feedback and recommendations for improvement.

  • Ability to proactively address and resolve operational challenges that arise during daily activities, identifying appropriate solutions to maintain service levels. Cultivate a positive and collaborative team environment, encouraging open communication and mutual support.

  • Ability to foster regular and transparent communication within the team, keeping staff informed of relevant library news, policy changes, and their impact on operations.

  • Ability to establish clear performance goals for team members, document performance regularly, provide timely and constructive feedback, and conduct formal performance evaluations. Recognize and reward excellent performance.

  • Ability to assist staff in meeting and exceeding performance standards, identifying opportunities for professional development and continuous improvement. Document causes for disciplinary action, initiate letters of reprimand as necessary, and make formal recommendations for further disciplinary action. Respond to both formal and informal employee grievances and prepare thorough written responses.

  • Ability to oversee the daily courier services, ensuring the timely and secure transportation of library materials and other items between all branch libraries using a company vehicle. This includes:

    • Distributing courier assignments among team members to ensure efficient coverage of all routes.

    • Monitoring the adherence to schedules and addressing any delays or issues that may arise.

    • Ensuring the proper loading and unloading of materials, equipment, and supplies from the courier vehicle.

    • Operate a company vehicle to transport library books, materials, equipment, and supplies between various library locations.

    • Verifying that team members maintain accurate records of mileage, delivery loads, and any other relevant information related to courier activities.

    • Collaborating with other departments and branch staff to optimize delivery schedules and routes as needed.

    • Ensuring that all team members operating company vehicles adhere to safety standards and regulations.

  • Ability to generate comprehensive reports for management that track the usage and value of items received and issued. Utilize basic computer spreadsheet/database software and/or enterprise inventory management software to accurately compile and present data.

  • Ability to track the status of special orders that are critical for the successful completion of significant organizational projects, ensuring timely delivery and communication with relevant stakeholders.

  • Ability to assist with collection management tasks as needed, such as sorting and shelving materials to support efficient library operations.

Minimum Qualifications:

  • Graduation from high school or the possession of a GED, HiSET or TASC Certificate.

  • Two (2) years experience in the receiving, stocking, issuing and inventory record keeping of parts, equipment, supplies, or materials, which must have included one year of stock ordering responsibility.

  • Additional appropriate experience may be substituted for the minimum education.

  • By position, it requires a valid Driver’s License at the time of application.

Preferred Qualifications:

  • Demonstrated ability to lift and move heavy materials (e.g., boxes of books).

  • Excellent organizational skills, including the ability to manage time effectively and prioritize tasks in a dynamic environment.

  • Strong written and verbal communication skills, with the ability to interact professionally with staff and potentially library patrons.

  • Proficiency in basic computer applications, including spreadsheet and database software (e.g., Microsoft Excel, Google Sheets), and the ability to learn and utilize enterprise inventory management software.

  • Proven ability to lead and supervise a team, including providing work direction, feedback, and performance management.

  • Strong problem-solving skills and the ability to make sound decisions.

  • Commitment to teamwork and fostering a positive work environment.

  • Customer service orientation and a commitment to providing efficient and reliable support services.

While you may be hired for a specific location, please know that we are hiring with the expectation that at any time, you may be required to work at any one of our branches based on operational needs. DPL employees may be redeployed to work in other locations or capacities to support core functions of the library system during branch closures or other emergencies.
