This Order Management Specialist ensures order quality, order integrity, and contract compliance from entry through to cash collection. Plan and pro-actively support the entire process of fulfilling apurchasecontract from Order Entry toCashCollectionto ensure that contractualrequirementsand businesscompliance requirementsare met.
Establish and maintain communication with the appropriate individualsin the fieldlocationsand headquarterslocationsthroughout the process, along withall others necessary toensuretimelyorder management.
OverseeOrder Entryprocesses, includingquotationreview, pricingvalidation, and contract documentation verification,per standard work,as necessarytomeetbusinesscontractrules andrequirements Maintainorder backlogqualityand trackingfor continued compliancetocontractual requirements
Work collaboratively with our shared service team members processingChange Order Management processes effectively, efficiently, and compliantlyto standard work and contractTrackand report out toOTRleadership,and regional teams on allmodifications tocontracts/orders (includingChange Order, PhaseIn/PhaseOut,Locally Sourced Inventory,Construction, etc.)viastandard worktracking tools.
Optimize Sales transfers Assist in the resolution of Accounts Receivablecash collectionissues and disputes on assigned orders.Drive continuous process improvements, leveraging shared service support where appropriate.
Confirms customer requested delivery date and plans to ensure backlog management is maintained per standard work instructions,system warnings,and alerts. Own and update timely key dates using local operating mechanisms and reports.
Provideshipping and billing instructions in accordance with contract terms and conditions.
Actively participate in and drive continuous process improvement exercises, standard work development and enhancement, and engage in business Lean, 6-Sigma efforts.
Bachelor’s degree is preferred, or
Associate’s degree with 5 years of experience, or
High School Diploma with 15 years of experience
Ability to work in a fast-paced environment
Able to prioritize work and multi-task
Proactively follow up on open issues, with strong critical thinking and communication skills
Basic accounting skills and attention to detailCurrent or previous experience in a project management, customer relations or order management role
Previous experience supporting a Sales or Service team
Proven ability to build relationships with remote colleaguesDemonstrated aptitude and success in fostering solid, value-based relationships with internal and external customers
Ability to work extended hours & weekends during peak times of the year which are the last 2 weeks of the following months: March, June,September,and December
