Order Management Specialist

In this role, you will play a key part in strategic initiatives that directly impact on our customers’ experience and the efficiency of our Personal health supply chain. Your work will help optimize operations, enhance product availability, and support our mission to improve health and well-being worldwide. By ensuring that our solutions are delivered seamlessly, you contribute to meaningful, positive outcomes for patients, healthcare providers, and communities globally.

You’ll be joining a collaborative, cross-functional team that includes experts in the supply chain, sales, and customer support. Key stakeholders include supply chain managers, demand planners, sales teams, and external logistics partners, all working together to meet organizational goals. As part of this network, you’ll regularly engage with senior leadership and various internal departments to coordinate efforts, solve complex challenges, and foster continuous improvement across the supply chain.

Your role:

  • Coordinates and ensures the creation of manual sales orders and monitor automated ones across multiple channels, including return flow, ensuring comprehensive oversight of the entire sales order process.
  • Addresses non-touchless and one-time-right flows to guarantee fulfillment of these orders, focusing on swiftly resolving root causes to enhance overall efficiency.
  • Monitors regularly on order receipts and status, providing transparent and up-to-date information on sales activities to support informed decision-making.
  • Guides the execution of the administrative flow of all types of sales orders, from intake to recognition, ensuring smooth and efficient processing and maintaining operational continuity.
  • Monitors the sales order flow closely, emphasizing exception management and promptly addressing any issues that arise to maintain seamless operations and operations integrity.
  • Engages with internal departments to resolve issues and seek clarifications, contributing to the maintenance of clean and accurate sales order records, and fostering effective interdepartmental collaboration.
  • Ensures smooth handling of requests in accordance with established procedures, including creating approved product return orders, managing credits and debits, and processing free-of-charge transactions, ensuring precise and timely execution.
  • Communicates proactively with internal departments to prevent escalations and ensure timely resolution of issues, leveraging knowledge of order management procedures and logistics processes.

1. Experience.

Order Processing and Fulfillment

  • Proven experience in managing end-to-end order processing, including order entry, tracking, and fulfillment.
  • Strong understanding of order life cycle processes, from order placement to delivery and invoicing.

Customer Service and Communication

  • Excellent interpersonal and communication skills, with experience in handling customer inquiries, order status updates, and resolving order-related issues.
  • Ability to work closely with cross-functional teams, such as sales, logistics, and finance, to ensure seamless service.

Problem Solving and Attention to Detail

  • Strong analytical skills with the ability to troubleshoot and resolve issues related to order discrepancies, delays, and inventory shortages.
  • Detail-oriented, with the ability to accurately process orders, track status, and ensure order accuracy.

Knowledge of Supply Chain and Logistics

  • Basic understanding of supply chain and logistics operations, including familiarity with shipping, delivery, and inventory planning.
  • Experience working with logistics providers to coordinate shipping timelines and resolve any transit-related challenges.

Data Analysis and Reporting

  • Ability to analyze order data, prepare reports on order performance metrics, and suggest improvements to streamline order management processes.

Time Management and Multitasking

  • Excellent organizational skills, with the ability to prioritize tasks and manage multiple orders simultaneously in a fast-paced environment.

  • Order Management experience(Both Fulfillment & Order Processing)
  • SAP
  • Excellent comm skills
  • Customer Service Orientation
  • Logistics Fundamentals
  • Problem Solving Techniques
  • Excel, Macros & Power BI will be added advantage

3. Education.

  • Any bachelor’s degree is preferred
  • Master’s in supply chain management will be an added advantage.

How we work together
We believe that we are better together than apart. For our office-based teams, this means working in-person at least 3 days per week.
Onsite roles require full-time presence in the company’s facilities.
Field roles are most effectively done outside of the company’s main facilities, generally at the customers’ or suppliers’ locations.
