Order Entry Associate

Position Summary

The Order Entry Specialist is responsible for providing exceptional customer service while ensuring the accurate and timely processing of customer orders. This role serves as a key member of the customer support and order fulfillment process by entering, reviewing, releasing, and maintaining customer orders within company systems.

The successful candidate will work collaboratively with Sales, Customer Service, Operations, and other internal stakeholders to support business objectives, maintain data accuracy, and contribute to a positive customer experience. Essential Duties and Responsibilities

Responsibilities include, but are not limited to:

Order Processing

• Enter customer orders accurately and efficiently into SAP and other applicable systems.
• Review, release, and process incoming orders in accordance with established procedures and service level expectations.
• Verify order information for completeness, accuracy, and compliance with company requirements.
• Monitor order status and assist in resolving order-related discrepancies or issues.

Customer Service and Communication

• Provide professional, responsive, and customer-focused service to internal and external customers.
• Communicate effectively with Inside Sales Representatives, Regional Sales Managers, Customer Service personnel, and other business partners.
• Respond to inquiries regarding order status, product availability, and order fulfillment processes.
• Build and maintain positive working relationships with customers and colleagues.

Process Support and Continuous Improvement

• Develop and maintain a thorough understanding of the company’s order fulfillment processes.
• Follow established procedures while identifying opportunities to improve efficiency, accuracy, and customer service.
• Support departmental projects and process improvement initiatives as assigned.
• Assist management with special projects and additional duties as needed.

Administrative Support

• Serve as a backup for front desk reception and related administrative responsibilities, as required.
• Maintain accurate records and documentation related to order processing activities.
• Ensure confidentiality and security of customer and company information.

Qualifications

Required Qualifications

• High school diploma or equivalent.
• Strong customer service orientation and commitment to delivering high-quality support.
• Excellent verbal and written communication skills.
• Strong attention to detail and accuracy.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
• Ability to work independently and collaboratively within a team environment.
• Strong organizational, problem-solving, and time-management skills.

Preferred Qualifications

• Bachelor’s degree in Business, Supply Chain, Communications, or a related field preferred.
• Previous experience in order entry, customer service, inside sales support, administrative support, or related business operations.
• Experience with SAP or similar enterprise resource planning (ERP) systems.
• Experience supporting sales, customer service, or distribution operations.
