Starting Salary: $17.81 per hour

Provides assistance to the Chief and Assistant Chief Probation Officer by monitoring postage and posting mail; tracks incoming and outgoing mail; maintains vehicle log, receives and process invoices and works with the state procurement system WORKS. Prepares circuit meeting agendas, taking meeting minutes, organizing meeting documentation. Notify and follow up with building maintenance when problems arise.

Reviews incoming job applications for completion and qualifications to print; send Ergometrics (ERGO) Test invitations to applicants applying for a JPO positions, proctor ERGO test and process test packets for scoring.

Assist with Public Records Requests, assign to proper unit, assist with retrieving closed files, detract personal information before uploading. Assisting with uploading closed files before shredding.

Process Department of Juvenile Justice (DJJ) ID cards, ordering and collecting bus passes, and prepares intern packets.

Access Detention Review Reports from Juvenile Justice Information System (JJIS) on a weekly basis to provide to Chief Probation Officer, Assistant Chief Probation Officer and staff.

Completes special assignments, research, and prepare reports.

Maintains inventory and ensures annual reports are submitted on time.

Performs other related duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of the methods of data collection, and the principles and techniques of effective communication.

Knowledge of word and excel.

Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, purchasing or report writing.

Ability to prepare correspondence and reports, understand and apply applicable rules, regulations, policies and procedures and utilize problem-solving techniques.

Ability to establish and maintain effective working relationships with others.

PREFERRED QUALIFICATIONS

Administrative office functions experience.

If initially hired with an out-of-state license, the Florida resident must obtain a valid Florida state driver’s license within 30 days of hire. Licenses suspended or revoked for any reason, work permits (Business purpose/Employment/education only licenses) and some types of restricted licenses are not acceptable. Licenses that have Corrective Lenses Restriction are acceptable, provided the driver wears corrective lenses while operating the vehicle.
