Job Description

SUMMARY:

The Operations Support Specialist II position provides a wide range of operational support activities for the regional and local office organization within Pike Engineering. The incumbent will support client interaction up to and including time and expense processing and invoice preparation. This position is critical to ensure the day to day office operations are organized and functional. Strong organization skills and communications skills are critical to the successful performance of this role.

ESSENTIALDUTIES ANDRESPONSIBILITIES

Under supervision the Operations Support Specialist II position is expected to be able to perform all the functions of the Operations Support Specialist I position plus the following as needed:

Support time and expense entry process to insure corporate deadlines are met. Review time and expense reports for accuracy and completeness, run and review summary reports for management approval as required.

Prepare for review as appropriate client invoices with all required supporting documentation.

  • Maintain records, files and databases of projects and operational data and develop reports, charts, graphs, etc. as required. Provide support for project/program performance review as assigned.

Coordinate materials for meetings and training sessions and other activities of the organization

Responding to customer inquiries and serving as liaison between company and client

Support accounts receivable and accounts payable processes

Support local management on all items with landlord including invoice review, facility service requests, emergency evacuation plans, etc

Research for products and services as required for office

Organization and maintenance of materials for local reference library

Handle travel arrangements as required

Performotherdutiesasassignedbymanagement.

Significant time spent in on-the-job training for first 3-6 months in role.

1.Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to perform these operations using units of American money and weight measurement, volume and distance.

2.Ability to compute rate, ratios, and percent and to draw and interpret bar graphs.

3.Ability to compute rate, ratios, and percent and to draw and interpret spreadsheets

REASONINGABILITY:

A. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

B. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
